Overview
Provides administrative support to the Director of Planning, Assistant City Planner, and Planners. Receives incoming telephone calls, provides information to the public, and routes calls to appropriate department personnel. Maintains files and tracking systems. Handles all public hearing notification mailings. Attends, and prepares meeting summaries of monthly Board of Adjustment meetings and provides back-up for other monthly meetings, as needed. Processes account payables and revenue collections for the Department using Logos software. Heavy proofreading of correspondence and reports is an important part of this position.
Responsibilities
Provides administrative support to the Director of Planning, Assistant City Planner, and Planners. Receives telephone calls and handles inquiries as appropriate. Distributes daily mail. Proofreads and processes outgoing mail for the Director and Planners.
Processes accounts payables and revenue collections for the Department using Logos software. Balances budget spreadsheets with Logos. Provides monthly report to Finance Department on releases of sureties and lot cash escrows.
Logs in all material related to development projects, and distributes to appropriate personnel.
Handles all public hearing notification mailings. Maintains employee boot list and keeps Supervisors and vendors updated.
Enters information into database relative to building permits and prepares quarterly/yearly reports. Enters new projects into Active Developments database and on Active Developments map. Maintains various databases for the Department relative to ordinances, conditional use permits, sign permits, and zoning verifications.
Updates Petition List by adding new projects and related actions taken by Planning Commission and City Council.
Responsible for preparing material for monthly Board of Adjustment meetings. Attends Board of Adjustment meetings and prepares minutes for same. May provide back-up for other evening meetings as needed.
Creates files for all new projects. Assists in archiving of files by scanning and preparing for microfilm. Assists in proofing microfilmed files.
Assists other employees with workload as needed.
Performs all other related duties as assigned.
Skill Requirements
Ability to work independently, make independent judgments, and work well with others. Demonstrates initiative. Learns quickly and adapts to changing situations. Work may include the performance of delegated administrative tasks in contrast to more general clerical responsibilities.
Knowledge of Windows-based word processing, spreadsheet, and database applications. Proficient typing and proofreading skills required, along with knowledge of general office procedures, business English, spelling, basic math, and grammar. Ability to operate related office equipment including, copiers, scanners, and calculators. Experience in preparing meeting summaries desirable.
Compensation
This is a non-exempt position starting at an annualized rate of $45,894
