Grant Administrative Specialist
JOB TITLE: Grant Administrative Specialist
CLASSIFICATION: Non-Exempt
DEPARTMENT: Mayor
SUPERVISOR: Mayor Economic Resource Administrator
SALARY: $43,724 to $61,213 annually
GENERAL JOB DESCRIPTION
The city is seeking a highly motivated and organized Grant Administrative Specialist to join our growing team. The successful candidate will provide general administrative support and will be responsible for managing select awarded grants, including budget oversight, financial reconciliations, and compliance, preparing and submitting reports, and records management.
PRIMARY DUTIES AND RESPONSIBILITIES
- Manage Grant Management Software to include creating new grant records and maintaining comprehensive files, maintaining the task calendar and workflow.
- Track and maintain records for grant-related contracts, agreements, and resolutions.
- Develop and implement compliance policies, procedures, best practices, and training to monitor and enforce eligible expenses/budgets, amendments, and reporting deadlines. Ensure proper utilization of funds and compliance with federal and state regulations.
- Assist with writing, submitting and/or overseeing the grant reporting process across departments.
- Assist in preparing grant applications – such as completing federal provision documents, letters of support, budgets, and grant related legal and council agenda documents.
SECONDARY DUTIES AND RESPONSIBILITIES
- The role often requires flexibility and the ability to work independently while managing multiple projects simultaneously.
- Optimize grant administration processes.
- Identify and manage data for internal and external reporting.
- Perform other duties & responsibilities as necessary.
KNOWLEDGE, SKILLS AND ABILITIES
- Attention to detail and strong organizational skills.
- Ability to work independently and as part of a team.
- Strong writing and research skills, with the ability to craft compelling and persuasive proposals.
- Knowledge of grants and/or non-profit management.
QUALIFICATIONS FOR THE JOB
Required:
Experience with grant management, writing or administration.
Strong organizational and communication skills.
Proficiency in Microsoft Office and database systems.
Knowledge of grant compliance and reporting requirements.
PHYSICAL REQUIREMENTS

While performing the duties of this job, the employee is required to maintain effective audio-visual discrimination and perception needed for making observations, communicating with others, reading, and writing. The employee is also required to maintain the physical condition necessary for operating assigned equipment, walking, standing, kneeling, repeated bending or sitting for prolonged periods of time and lifting to 30 pounds. Maintain mental capacity which allows the capability of making sound decisions demonstrating intellectual capabilities.
Working Environment:
Working closely with others in an office environment utilizing a computer and other office equipment.
