The City of Clarksburg is accepting applications for the position of Community Planning and Administrative Project Manager, this position supports critical planning initiatives and projects throughout the organization and community.
Reporting directly to the City Manager, the Community Planning and Administrative Project Manager works closely with city boards, agencies, and community stakeholders to drive the city's strategic goals. Collaboration with department directors and team members is essential to ensure timelines are met and objectives are achieved within scope.
A vital part of the job involves coordinating resources, tracking progress, and maintaining open lines of communication with all stakeholders. The ideal candidate is a proactive problem solver, able to juggle multiple tasks efficiently, and excels in communication. Additionally, this position will provide administrative and logistical support to the City Manager’s Office.
Job Duties and Responsibilities

The following duties represent key tasks performed in this position, though the City Manager may assign additional essential duties as needed:
- Assist prospective developers by identifying resources for planning, development, redevelopment, and other high-impact projects, ensuring alignment with city policies and ordinances.
- Provide administrative and logistical support to the City Manager and other directors in the planning, development, and execution of projects, events and other city planning initiatives.
- Foster positive working relationships with internal and external stakeholders to ensure successful project outcomes.
- Serve as a staff liaison to the Urban Renewal Authority, Land Reuse Agency, Parking Authority, Traffic Committee, and other relevant committees.
- Coordinate feedback from stakeholders and ensure necessary adjustments are communicated and implemented in project plans.
- Support updates and the continuation of the comprehensive plan, economic development plan, emergency disaster and hazard mitigation plans, and other planning documents.
- Organize public meetings to address land use, business development, and retention, while promoting growth and economic development.
- Update business contact information to assist the Finance Department and Code Enforcement.
- Represent the city at various meetings, including city boards, public/private groups, and regulatory agencies.
- Assist with market research and data analysis to support planning and economic development initiatives.
- Serve as the point of contact for clients, vendors, and external partners, ensuring clear communication and maintaining expectations.
- Additional job duties as assigned.
Required Qualifications
- High school diploma or GED required; an associate or bachelor’s degree in business administration, communication, or legal secretarial training is desired and a combination of education or work experience will be considered.
- Experience in a manager/director-level position in government is required.
- Strong project management and analytical skills, with the ability to manage complex and sensitive projects and adapt to changing priorities.
- Proficiency in Microsoft Office, social media platforms, and general office equipment.
- Knowledge, Skills, and Abilities
- Knowledge of government policies, procedures, and relevant federal, state, and local laws.
- Exceptional verbal and written communication skills, with the ability to effectively represent the city’s interests.
- Strong problem-solving skills, with the ability to anticipate issues and proactively develop solutions.
- Ability to communicate effectively both orally and in writing with stakeholders, including city leadership, vendors, and the public.
Additional Requirements:
Successful completion of a professional pre-employment drug test, background check, and credit check.
Ability to become a notary public is preferred.

Physical Standards Required to Perform Essential Job Duties:
The position performs work where the employee is frequently required to sit, talk, or hear, and reach with hands and arms or sustained keyboard operations. The noise level in the work environment varies as the position requires working in an office setting and occasional outside of the office.
