Executive Assistant/Special Projects Manager
JOB SCOPE:
The Executive Assistant/Special Projects Manager provides high-level administrative support to
the City Manager and oversees special projects to enhance the efficiency and effectiveness of
city operations. This role requires exceptional organizational skills, attention to detail, and the
ability to manage multiple priorities in a fast-paced environment. The position serves as a key
liaison between the City Manager’s Office and city departments, elected officials, businesses,
and the community.
MAJOR DUTIES:
- To support the vision, mission and guiding principles of the City of Clarkston.
- Manage the City Manager’s calendar, schedule meetings, and coordinate travel
- Prepare reports, presentations, and correspondence on behalf of the City Manager.
- Attend meetings, take minutes, and follow up on action items as needed.
- Handle confidential and sensitive information with discretion and professionalism.
- Serve as the primary point of contact for internal and external communications to the City
- Plan, coordinate, and oversee special projects assigned by the City Manager.
- Conduct research, analyze data, and provide recommendations for policy development and

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other
administrative software.
- Ability to manage multiple priorities and meet deadlines with minimal supervision.
- Knowledge of municipal government operations and procedures is a plus.
Supervisory Controls: The Executive Assistant/Special Projects Manager works under the general
supervision of the City Manager, who provides broad guidance on priorities and objectives. The
incumbent exercises significant independence in managing daily tasks, special projects, and
administrative functions. Work is reviewed through meetings, reports, and overall effectiveness
in supporting the City Manager’s Office. The employee is expected to use initiative, discretion,
and sound judgment in handling sensitive matters and executing assignments.

Complexity: The Executive Assistant/Special Projects Manager handles a variety of
administrative, project management, and community engagement tasks while managing

Scope and Effect: The Executive Assistant/Special Projects Manager supports the City Manager’s
Office by ensuring efficient operations, effective communication, and successful project
execution. The work directly impacts the city’s administrative functions, policy implementation,
and overall service delivery to residents and stakeholders.
Personal Contacts: Contacts are regularly with city officials, department heads, employees,
residents, businesses, and external agencies.
Purpose of Contacts: Contacts are essential for coordinating projects, providing information,
resolving issues, and ensuring effective communication between the City Manager’s Office and
the community.
Physical Demands: The role is primarily performed in an office setting and requires the ability to
sit or stand for extended periods, operate a computer, and handle standard office equipment.
Occasional lifting of objects up to 25 pounds and attendance at meetings or events outside
regular hours may be required.

MINIMUM QUALIFICATIONS:

based upon the chosen candidate’s qualifications and experience. The City of Clarkston also
