Assistant Administrator
Mayor’s Office of Prevention, Intervention and Opportunity for Youth and Young Adults
Essential Duties and Job Functions:
- Organize in person and virtual meetings and convening’s.
- Manage day of logistics and staff to ensure smooth running operations and positive attendee experiences.
- Manage the preparation and distribution of materials for meetings and events.
- Mange online organization systems for projects and partnerships.
- Arrange all pre-meeting and event activities and quality checks.
- Develop and track special project plans.
- Draft communications and marketing materials.
- Organize travel plans and arrangements.
- Work in coordination with finance and operations teams.
Requirements:
- 3 – 5 years of administrative support or project management and related experience.
- Ability to maintain high levels of confidentiality.
- Knowledge of government or large organization culture.
- Willingness to learn about education and youth development practices and services.
- Strong written and oral communication abilities.
- Ability to build, sustain, and strengthen relationships with a broad range of stakeholders.
- Keen ability to maintain neutrality with stakeholders and community partners.
- Proven ability to solve problems creatively.
- Strong familiarity with project management software tools, methodologies, and best practices.
- Experience seeing projects through the full life cycle.
- Excellent analytical skills.
- Strong interpersonal skills and extremely resourceful.
- Proven ability to complete projects according to outlined scope, budget, and timeline.
