Chief Deputy Clerk / Case Management Services Clerk

POSITION SUMMARY:

The primary purpose of the Case Management Services Clerk is to update the official electronic Court docket.   Must perform daily job responsibilities related to the Case Management System and docketing of all Court records and pleadings.  This includes all Magistrates decisions and Judgment entries, issuing Writs of Restitution, reissuing summons and copies of complaints and all service methods requests and return of same and any and all activities either prejudgment or post judgment recorded in Cleveland Municipal Court.  


Under the direction of the Clerk of the Municipal Court, with the powers of a Deputy Clerk under the statutes, is responsible for the work of the Civil Branch of the Office of the Clerk of the Municipal Court. Supervises the work of subordinates. Performs related work as required. TYPICAL TASKS: Makes Assignments to Clerks, distributing work. Issues instructions. Assists in the formulation of administrative policies, and supervises their execution. Sees to the purchase of books and supplies and acts as disbursing officer in paying for them.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.  Other duties may be assigned.

  • Verify that the information on the complaint matches the data in the computer.
  • Examine processing for neatness, exactness and accuracy.

  • Compare data entered with source documents to ensure that data entry is accurate.

  • Scan documents when appropriate.

  • Provides excellent customer service to internal and external customers in person and on the phones. 

  • Responsible for getting files from the Housing Division. 

  • Provides excellent Customer Service in person at the Counter and on the phone.

  • Journalizes administrative orders for General and Housing Divisions.

  • Any duties necessary to ensure the smooth operations of the Clerk of Courts office.

  • Must have intermediate or advanced Microsoft Word, Excel and PC computer skills, including data entry skills.  Must type 30 words per minute.  

  • Clerical skills, i.e. filing, telephone skills, correspondence, proofreading, alphabetizing, etc.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); and six months related experience and/or training; or equivalent combination of education and experience.     

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  The work involves sitting or standing for long periods of time, and repetitive motion.  The employee must occasionally lift boxes of files weighing up to 50 lbs.; and/or push file cart weighing up to 50 lbs.  Some bending stretching may be required.
