What are the responsibilities and job description for the Police Records Technician position at City of Coconut Creek?
Performs office work related to records and telecommunications in the Police department. Processes, enters, searches, collects, and stores law enforcement records, reports, and information and assists the public with police information and services. Work is performed under general supervision with limited latitude. Position exercises some judgment in accordance with well-defined policies, procedures, and techniques.

The list of essential functions, as outlined herein, is intended to be representative of the tasks performed within this classification.
- Receives, sorts, enters, files, queries, copies, redacts, retrieves, distributes, and validates a variety of records and reports in the law enforcement computer system
- Compiles and maintains delinquent report lists; makes corrections in computer database
- Prepares, researches, and maintains data and records; files records, citations, reports, etc.
- May conduct financial transactions with customers related to fee-based services
- Processes misdemeanor and felony arrest packets for the state attorney's office
- Fulfills requests for copies of various reports and documents in compliance with the guidelines of Florida State Statute Chapter 119; responds to law enforcement personnel requests for records.
- May validate entries in the Florida Crime Information Center/National Crime Information Center (FCIC/NCIC) systems by pulling files and verifying accuracy of entries; reviews validation printout for coding errors and insures that all FCIC /NCIC data base entries are active and contain accurate information
- May act as a court liaison; distributes subpoenas and court-related paperwork
- Assists with the fingerprinting of citizens when requested
- Assists in the preparation of periodic and special reports
- Enters, updates, and retrieves information from FCIC/NCIC (teletype) and other Criminal Justice Networks related to missing persons, wanted persons, stolen property, vehicles registration, stolen vehicles, and other information.
- Performs critical functions, including, but not limited to, monitoring audio and video security systems, operating access control systems, monitoring license plate recognition systems (LPR), providing internal and external telephone support, and reporting unusual or suspicious circumstances to the appropriate authority.
- Performs other duties as assigned
High school diploma or equivalent, and generally at least one year of related clerical or office work experience, preferably related to law enforcement records and/or telecommunications.
Must have a state of Florida driver’s license and must obtain Florida Crime Information Center/National Crime Information Center (FCIC/NCIC) certification within the first six (6) months of employment.
Cannot have visible tattoos while wearing long-sleeved professional attire.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of police records & telecommunication procedures is preferred
- Ability to type 30 words per minute with 90% accuracy
- Skill in Microsoft Office products (Word, Outlook, and Excel)
- Skill in providing good customer service
- Ability to multi-task while working with tight deadlines and shifting priorities
- Ability to organize work for timely completion
- Ability to establish and maintain effective and cooperative working relationships with those contacted in the course of work
- Ability to clearly communicate and understand the information in English, orally in-person, orally via two-way radio, through computer systems, and in writing
- Ability to understand police and fire codes/signals used in Broward County
- Ability to work varying schedules when operationally necessary
- Ability to regularly attend work and arrive punctually for designated work schedule
PHYSICAL REQUIREMENTS:
Depending on functional area of assignment, tasks involve the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 20 pounds). Tasks may involve extended periods of time at a keyboard or work station.
ENVIRONMENTAL REQUIREMENTS:
Tasks are regularly performed inside without potential for exposure to adverse conditions, such as dirt, dust, pollen, odors, fumes and/or poor ventilation, wetness, humidity, rain, temperature, machinery and/or moving vehicles, vibrations, electric currents, animals/wildlife, toxic/poisonous agents, gases or chemicals, oils and other cutting fluids, violence and/or disease, or pathogenic substances.
SENSORY REQUIREMENTS:
Some tasks require manual dexterity, in addition to visual and hearing acuity.
