The City of Colorado Springs is ready to welcome a Business Support Specialist I to support the Colorado Springs Airport. As a Business Support Specialist I, you will leverage your exceptional communication abilities to manage incoming calls and respond to emails on three active accounts. You will also perform a variety of administrative, analytical, and strategic operations duties for the Marketing & Communication team. This is accomplished by managing existing programs, inventory, reports, and coordination of multiple communication platforms. Job Type: Full-time, Non-Exempt
Hourly Salary: $19.98 - $23.99
Work Schedule: Monday- Friday; 8:00AM - 5:00PM. This position requires full-time, in office presence.
Pre-Employment Requirements: The selected candidate must pass (or have already passed) a fingerprint-based criminal history records check as required by the Transportation Security Administration
As a Business Support Specialist, you will:
- Manage incoming telephone calls and adjust phone tree configurations as necessary
- Coordination of askFlyCOS emails and responses
- Address questions submitted via GoCOS! (Accela) and oversee three active email accounts
- Oversee courier escort responsibilities and manage deliveries
- Administer visitor and event parking validations
- Mailroom supply inventory
- Facilitate vendor requests, prepare purchase orders, and process receipt invoices to ensure timely payment
- Coordination and processing of invoices, payment and financial tracking
- Support midyear encumbrance balancing and participate in annual audits
- Preparing Travel documentation and expense sheets for (2) Admin Assistant Directors and (2) Department Managers
- Contract/Agreement coordination and prep support for the Program Administrator
- Preparation and coordination of Purchase Request, PO, and Contracts
- Processing vendor documentation
- Taking meeting minutes for Air Service Development / Marketing & Communications Meetings
- Compiling and Tracking Tasks and Priorities
- Coordinate the scheduling of five conference rooms

We are looking for candidates who demonstrate:
Knowledge of:
- Microsoft Office Suite Programs with a strong understanding of Microsoft Excel, Word and Outlook Organization methods with a strong dedication to details
- Manage multiple priorities while working under tight deadlines
- Provide exceptional customer service to internal departments and external contacts
- Work independently with minimal supervision
- Provide timely responses to a variety of administrative inquires
- Communicate effectively verbally and in writing
Minimum Qualifications
- Equivalent to completion of the twelfth grade (high school diploma or GED)
