The Coral Springs Police Department has a diverse workforce, with an authorized strength of 230 police officers and over 99 civilian members, who are dedicated to providing the highest level of professional service to our citizens, businesses and the visitors we serve. Under limited supervision, the purpose of the position is to provide responsible, administrative support to the Records Unit. Employees in this classification are accountable for the accuracy of both routine and non-routine administrative support duties performed as dictated by the nature of department. Position is distinguished from that of the Office Assistant by the degree of accountability of the work, greater latitude in exercise of independent judgment concerning assigned duties, and the ability to function with a higher degree of independence, only projects with that are highly complex will have oversight by the immediate supervisor.

  • Data consolidation/name merging via RMS software system.
  • Scanning of all old homicide/sex battery cases.
  • Records disposition (destruction of cases/shredding) and updating in computer.
  • Process Records request from the public. 
  • Validation of reports (check in Onbase to make sure reports scanned correctly).
  • Retrieve and return phone messages from staff that are out of the office.
  • Back up to staff that are out of office including but not limited to the Police Department lobby.
  • U.S. mail distribution for the Department.
  • Mailing out notices and handle returned mail.
  • Data entry of citations.
  • Fulfill records requests for internal/external customers.
  • High School Diploma or GED.
  • Three (3) to four (4) years of progressively responsible experience and/or training in administrative/secretarial support functions; or an equivalent combination of education, training, and experience.
  • Ability to type a minimum of 40 WPM, operate programs such as the Microsoft Suite, and draft correspondence.
