Starting Pay: $21.83 - $26.19/hr. (DOQ)

What You'll Do:
As an Administrative Services Associate, you’ll play a vital role in keeping our shared department area running smoothly. Key responsibilities include:
- Supporting the Apartment Re-Occupancy Program: Schedule inspections, update tracking systems, issue certificates of occupancy, and assist apartment managers with records and billing inquiries.
- Supporting the Code Enforcement Program: Schedule inspections, update tracking system, and assist Code Enforcement Officer with administrative duties including court cases.
- Customer Service Excellence: Serve as a friendly, knowledgeable, first point of contact, helping customers obtain permits (e.g., building, right-of-way, planning and zoning). Answer phone calls, respond to inquiries, and guide visitors to their destinations.
- Office Administration: Prepare correspondence, compile reports, and manage escrow releases. Provide cross-training and backup support for other administrative staff.
- Public Record Assistance: Research property addresses, respond to title company requests, and process public record requests as needed.
What We’re Looking For:
- Education: High school diploma required; an associate’s degree in business or related field is a plus.
- Experience: At least 3 years in an office setting with a strong knowledge of Microsoft Word and Excel, and Google Workspace. Municipal government experience is preferred.
- Skills: Exceptional customer service, clear and tactful communication, multitasking, and the ability to work independently. Must type at least 55 words per minute and learn new software systems quickly.
- Attributes: Punctual, detail-oriented, and able to prioritize in a dynamic environment.
Requirements:
- Must be able to maintain in-office hours, Monday through Friday, 8 a.m. to 5 p.m.
- Must be comfortable sitting, standing, and bending for extended periods and have the manual dexterity to operate office equipment.
- Flexibility in working hours may be needed to ensure department coverage, with occasional attendance at after-hours meetings.
