What are the responsibilities and job description for the Tennis Facility Coordinator position at City of Daphne?
The purpose of this classification is to manage the operation of a publicly owned tennis and pickle ball facility including scheduling courts, maintaining calendar, tournaments etc. and general maintenance of tennis facility. This position reports to Deputy Director of Sports and Recreation.
- Schedules use of tennis, pickle ball courts, bocce courts; make reservations, and maintain calendar; schedule and coordinate the use or rentals of courts and/or equipment with leagues.
- Coordinates facility staffing needs, and supervises assigned staff and volunteers; plans, assigns, and directs the activities of facility staff; monitors performance and effectiveness;
- Ensures the observation of facility during scheduled use of courts; enforce and explain all facility rules and regulations including rules concerning dress, conduct and equipment.
- Monitors compliance by outside entities utilizing tennis and pickle ball facilities under agreements with required use of space, reporting of service, and/or filing of required reports.
- Maintains supplies for the operation of Lott Park; cleans and maintains facilities as necessary, makes sure courts are free of debris and standing water before allowing players on courts; general oversight of Lott Park and activities.
- Coordinates tournaments, camps, and special events; provide additional support as necessary for leagues and tournament play.
- Manages relationships with third party vendors, providers, and programs, and ensures compliance pursuant to city policy.
- Makes recommendations on tennis program facilities rules and policies; responsible for facility rentals for tournaments and tennis lessons at Lott Park.
- Makes recommendations for facility maintenance and upgrades; checks facility for safety, maintenance, and program needs.
- Maintains inventory, cash receipts, reconciliation associated with any tournaments or lessons the City may choose to implement at Lott Park.
- Operates a computer with facility management software; processes registrations and admission; balances cash drawer; prepares bank deposits, collects funds, issues receipts, and records transactions.
- Monitors expenditures and revenue related to activities and facility maintenance projects. Participates in budget preparation and annual fee analysis, and prepares budget requests.
- Answers phone, emails and provides information to the public; update web and social media related to program activities and calendars. Interacts with patrons to provide a positive customer experience; provides accurate information regarding activities and services.
- Performs other related duties as assigned.
Knowledge, Skills and Abilities:
- Skill in starting, stopping, operating and monitoring the functioning of equipment, machinery, tools, and/or materials used in performing essential functions.
- Ability to compile, assemble, copy, record and/or transcribe data according to a prescribed schema or plan. Includes judging whether readily observable functional, structural or compositional characteristics are similar to or divergent from prescribed standards, procedures or routines.
- Ability to exchange information for the purpose of clarifying details within well-established policies, procedures and standards.
- Ability to utilize a variety of reference data and information.
- Ability to carry out instructions furnished in written, oral, or diagrammatic form. Involves semi-routine standardized work with some latitude for independent judgment concerning choices of action.
- Ability to exercise judgment in situations characterized by repetitive or short cycle operations covered by well established procedures or sequences
Education and Experience: Bachelor degree in Recreation Administration, Sports Management, Business or Public Administration, or other related field, supplemented by 2 or more years participating, supporting and/or coordinating public tennis facility programming or recreation management; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Licenses or Certifications: Valid State of Alabama driver’s license.
PHYSICAL DEMANDS: The work is sedentary work which requires exerting up to 10 pounds of force. Work requires the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight. Tasks may involve extended periods of time at a work station. Some tasks require the ability to perceive and discriminate visual cues or signals. Some tasks require the ability to communicate orally.
WORK ENVIRONMENT: Work is performed in office and outdoor environments. Performance of essential functions may require exposure to adverse environmental conditions, such as dirt, dust, pollen, odors, wetness, humidity, rain, temperature and noise extremes, fumes, traffic hazards, or bright/dim light.
