Job Summary:
The Planning Administrative Assistant is responsible for administrative assistant duties in the Planning and Development Services Department. This position may be required to operate a city vehicle and is considered a safety-sensitive position.
Specific Duties:
- Provides a high level of customer service support to the general public, business owners, developers, and contractors, as well as the general public.
- Coordinates a wide variety of administrative duties for the various Department permit processes.
- Assists in reviewing customer applications for completion and compliance with codes and procedures.
- Collects payment for various permits, inspections, and work orders within the department.
- Assists in tracking and managing financial activity and budgeting for the department.
- Coordinates community outreach activities such as the weekly food truck event, monthly Market at The Crossroads, and other activities and/or events for community enjoyment.
- Attends commission, board, and departmental meetings when required.
- Creates agendas in Granicus for various board meetings, and types minutes when required.
- Post official notices of meetings when required.
- Orders equipment and supplies as needed
- Performs other related duties as required
Essential Administrative Functions:
- Ability to effectively communicate in oral and written communications
- Ability to operate, speak and hear on a telephone and/or a two-way radio
- Ability to use office equipment such as calculator, copier, fax machine, computer, printer, etc.
- May be required to carry, hold, lift, pull, or push items or supplies with a maximum weight of 35 pounds
- Ability to read and comprehend technical code manuals and regulations in answering questions from contractors and the public
- Ability to perform detailed work
Physical Demands:
Ability to sit, stand, kneel, squat, and transport self from building to building and/or construction sites and operate a motor vehicle through city traffic. May be required to carry, hold, lift, pull, or push items or supplies with a maximum weight of 35 pounds.
Required Education, Degrees, Certificates, and/or Licenses:
- High school diploma or GED
- Valid Texas Driver’s License
- Minimum five years of practical experience in clerical or technical administration, or
- Knowledge of Microsoft Office, Google Suites, Adobe and Canva software.
- Fluent in Spanish is preferred.
A combination of education and experience that indicates a level of skill and knowledge
necessary to fulfill the duties of this position may be considered instead of the education
and experience requirements listed above
