DEFINITION: The HR Administrative Assistant provides essential support to the Human Resources department by managing employee records, assisting with recruitment processes, and ensuring compliance with HR policies. This role serves as the first point of contact for HR-related inquiries, maintains personnel files, coordinates pre-employment screenings, and supports employee engagement initiatives. Additionally, the HR Administrative Assistant handles administrative tasks such as data entry, document processing, and benefits assistance, contributing to the smooth and efficient operation of the HR department.
ESSENTIAL FUNCTIONS (Not all inclusive): Serves as the first point of contact for employees and visitors regarding HR matters.
Screens and directs calls, answers general inquiries, and provides assistance as needed. Maintains confidentiality when handling sensitive employee information. Maintains and updates employee personnel files (both physical and digital), including personnel, medical, benefits, and payroll records. Ensures compliance with record retention policies and public records regulations. Processes and enters employee data into HR systems with accuracy. Assists with pre-employment activities, including new hire documentation, reference checks, and onboarding paperwork to ensure a smooth and compliant hiring process. Maintains records of Commercial Driver's Licenses (CDL), ensures timely renewals, and tracks required certifications to ensure compliance with city and state regulations. Provides information and assistance to job applicants. Assists in coordinating employee recognition programs (e.g., birthdays, Employee of the Quarter, service awards). Supports HR initiatives related to employee wellness, training, and engagement. Prepares and processes various HR documents, reports, and forms. Supports benefits enrollment and assists employees with basic benefits-related questions. Assists with HR compliance audits and policy updates. Manages mail distribution, filing, and other clerical tasks as assigned.
MINIMUM QUALIFICATIONS: Requires High School graduation or GED equivalent. At least 1-2 years of administrative experience in HR or a related field. HR Administrative experience in a city, county, or state government setting preferred. Must possess effective oral and written communication skills, excellent interpersonal skills, and advanced knowledge of Microsoft applications including Word and Excel. Experience with Munis preferred. Experience with applicant tracking systems, employee relations, and sourcing tools preferred. Must possess excellent time management skills and must maintain strict confidentiality.
LICENSES/CERTIFICATIONS: Requires designation as Notary Public within six months of hire.
