Description
This position performs clerical duties in the maintenance of the division parts and supply inventory.
Major Duties
- Issues parts to staff as needed; records parts issued, mechanic, and vehicle numbers.
- Processes invoices; compares invoices to items received for quantity and quality.
- Maintains stock levels; stocks parts on shelves.
- Maintains the parts room in a clean and orderly manner.
- Orders and picks up parts from local vendors.
- Checks vendors for price and quality.
- Inspects and reports problems with parts room or storage area to supervisor.
- Performs related duties.

- Knowledge of inventory management policies and procedures.
- Knowledge of city and departmental policies and procedures.

SUPERVISORY CONTROLS
The Fleet Service Supervisor assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the results.
GUIDELINES
Guidelines include city and department policies and procedures. These guidelines are generally clear and specific but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
- The work consists of related clerical duties. Frequent interruptions contribute to the complexity of the position.
- The purpose of this position is to provide clerical support for maintenance and issues of parts and supplies. Successful performance contributes to the efficiency and effectiveness of division operations.
CONTACTS
- Contacts are typically with co-workers, other city employees, and vendors.
- Contacts are typically to give or exchange information, resolve problems, and provide services.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
- The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, walking, bending, crouching, or stooping. The employee frequently lifts light and heavy objects, climbs ladders, and distinguishes between shades of color.
- The work is typically performed in an office or stockroom. The employee may be exposed to noise, dust, dirt, grease, machinery with moving parts, and irritating chemicals. The work requires the use of protective devices such as masks, goggles, gloves, etc.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
None.
Minimum Qualifications
- Graduation from a standard senior-high school or GED equivalent, as recognized by the United States Department of Education (USDE) or Council for Higher Education Accreditation (CHEA), and
- Two (2) years recent experience in the identification, stocking, and inventory control of a wide variety of materials, supplies, and equipment (requisition and preparation) and
One (1) year recent experience with automotive, medium to heavy trucks, and/or heavy equipment parts and supplies.
NECESSARY SPECIAL REQUIREMENTS
- Possession of a valid driver license and an acceptable driving record (PBA 09/10/01).
- An applicant for this position is subject to various background investigations up to and including a criminal, credit, past employment, and reference checks.
- Employees are required to submit to Drug and Alcohol testing in accordance with the City of Dothan policy, which includes pre-employment and random tests for the duration of employment in this position. (PBA 08/13/12).
- Must meet the City of Dothan's employment physical standard, which includes drug/alcohol testing.
