Primary Focus:
The administrative support II for the Division of Court Services provides a wide range of clerical and administrative functions including; calendar management, agenda coordination, data entry, generates reports and memos, tracks budget, maintains accounting and billing records, monitors and initiates financial transactions, coordinates travel and training arrangements, special events, administrative record keeping, etc. This position provides backup coverage for the other positions in Court Services and will be crossed trained on other job functions. The successful candidate will demonstrate the ability and willingness to adapt, embrace, and support change, and to learn new methods and processes as required for the position.

Given the nature of this classification’s duties/responsibilities, it has been designated as Non-Exempt under the governing Fair Labor Standards Act regulations and, therefore, is entitled to formal overtime compensation and/or formal compensatory time.

Examples of Duties

Essential Functions:
Performs skilled and specialized administrative duties for Division of Court Services including calendar management, agenda coordination, data entry, generates reports and memos, tracks budget, maintains accounting and billing records, monitors and initiates financial transactions, coordinates travel and training arrangements, special events, administrative record keeping, etc.

Processes and monitors financial transactions, including researching and resolving discrepancies, p-card reconciliation, creates purchase orders, and reconciles receipts. Runs reports, manages and tracks budget, maintains accounting and billing records, and other intermediate level budget and accounting tasks.

Organizes meetings, creates agendas, edits correspondence, originates and formats reports, orders office supplies or other similar responsibilities.

Prepares travel estimates, generates travel reports, arranges travel plans, reservations, and training registrations; creates purchase requisitions for travel and training expenses.

Responsible for records management and retention including scanning and records destruction in accordance with established retention guidelines.

Greets visitors and routes them to appropriate individuals. Screens and prioritizes incoming calls. Researches and responds to internal and external customer inquiries and determines and takes appropriate action as required. Serves as a resource regarding defined set of policies and procedures.

Composes and produces documents, including drafting and generating routine communications; coordinates production (formatting, copying, etc.) and dissemination of documents, such as presentations, handouts, conference and seminar materials, reports, brochures, and displays.

Employee may be exposed to some confidential and sensitive information acquired incidental to, or as part of job responsibilities.

May take an active role in managing all or part of a project.

This position provides backup coverage for the other positions in Court Services and will be crossed trained on other job functions.

Typical Qualifications

Minimum Qualifications:
High School diploma or GED and 3-5 years’ work experience performing intermediate level clerical and administrative support responsibilities.

Experience with Microsoft Office Suite, computer operations.

Experience with billing, invoicing and using a financial system preferred.

Physical Requirements:
Ability to operate standard office equipment in performing essential functions of work.

Ability to type in a sustained and continuous manner.

Other Qualifications:
Regular attendance, as governed by and in accordance with applicable rules, regulations, procedures and laws, is regarded as an essential requirement of this classification.

Compliance with training directives established by supervisory/managerial personnel.

Adherence to all applicable Federal and State safety laws, rules, and regulations and City safety policies/procedures.

HEALTH BENEFITS
The City of Dublin offers a high deductible health care plan through United Healthcare that provides 100% coverage for preventative care. Employee or family coverage is available. Additionally our integrated wellness program, Healthy by Choice (HBC), allows employees to earn a waiver of all or a portion of the medical plan premiums.

HEALTH SAVINGS ACCOUNT/HEALTH REIMBURSEMENT ACCOUNT
Annually, the City will deposit 75% of your health insurance deductible amount into an HSA account in your name.

VISION AND DENTAL
The City pays 100% of the premium for dental and vision. Coverage levels will be explained in further detail at time of hire.

LIFE INSURANCE
The City pays 100% of the premium for 1.5 times your salary up to $150,000 term life insurance coverage for the employee. Supplemental insurance is available.

RETIREMENT PENSION
The City contributes 14% monthly toward retirement benefits offered through the Ohio Public Employee Retirement System. The employee pension payment share is 10% of gross salary.

VACATION
New employees accrue two weeks of paid vacation their first year. Vacation time increases with length of service time. Prior public service may be honored as service credit for vacation accrual.

PERSONAL LEAVE
Employees receive five prorated days of personal leave annually.

SICK LEAVE
Employees are advanced three sick days at the time of hire and accrue nine sick days in total annually.

OTHER
Ten paid holidays per year, employer paid short term disability, tuition reimbursement of up to $5,000 annually, recreation membership , and longevity pay after four years of full time completed service with the City of Dublin.

Salary : $5,000 - $150,000
