Primary Focus 

Performs specialized clerical accounting support duties within the Division of Taxation, including  processing mail/depositing money manually and electronically, processing returns, posting all money received to correct taxpayer account in a timely and accurate manner and processing for retrieval, managing the taxpayer database, scanning of tax documents into the tax system, and responding to tax phone calls and walk-in customers. 

Given the nature of this classification’s duties/responsibilities, it has been designated as Non-Exempt under the governing Fair Labor Standards Act regulations and, therefore, is entitled to formal overtime compensation and/or formal compensatory time.

Essential Functions 

Picks up and opens mail and deposits checks either through the Department of Finance or electronically to the bank; records deposits daily in Excel for management.  

Scans tax documents accurately into the tax system and then shred documents after review by a Tax Auditor.

Accurately post tax documents into the tax system when needed to be performed on a daily basis. 

Delivers customer service through phone calls, e-mails, and online tax toll inquiries.

Analyzes, processes, and balances monetary transactions.

Imports electronic payments from Ohio Business Gateway, credit card and EFT payments, and submits and deposits through Department of Finance and/or electronically.

Reconciles daily deposits and ensures monthly reports are completed on time.

Creates all purchase orders including securing proper documentation for audit purposes and all follow up. 

Maintains tax database through tracking new residents as well as former residents who have moved out.

Performs basic audits on zero returns.

Shredding of tax documents after review by an Auditor or Corporate Tax Auditor. 

Imports tax returns that were filed electronically and designates exceptions for follow up by an Auditor or Corporate Auditor.

Searches for and initiates contact with new businesses to ensure compliance.

Moves all money after posting.

Determines appropriate pay plan terms, maintains records, and coordinates collection efforts.

Adjusts management spread sheet when notified of non-sufficient funds (NSF) or rejected payments and contacts taxpayer for payment.

Sends tax data to NCOA for address changes on a quarterly basis.

Ensures payments received as a result of an audit are posted correctly and proper Auditor or Corporate Auditor is notified.

Performs other related duties as assigned.

Minimum Qualifications

High School Diploma or GED and some banking experience, office experience, and experience using accounting principles; or any equivalent combination of accepted education and experience. Knowledge of basic accounting principles, practices, methods, functions and procedures.

Knowledge of basic auditing principles, practices, methods, functions, and procedures preferred.

Skill in the use of Word/Excel/Powerpoint preferred.

Good organizational skills.

Good written and verbal communication skills.

Ability to perform basic accounting functions.

Ability to use office software.

Ability to key accurately.

Physical Requirements

Ability to move about the inside of an office space to access file cabinets and office equipment. Constantly operate a computer and other office machinery, such as a copier, fax machine, mobile device, shredder, scanner, etc.

Must be able to remain in stationary position at workstation throughout scheduled workday. Ability to exchange information with co-workers and citizens through use of email system, the telephone, and in-person interactions. Ability to occasionally lift and move objects weighing up to 20 lbs.

Ability to move objects weighing over 20 lbs. with the help of equipment/devices, on an infrequent basis.

Ability to enter data into computer system in a sustained manner.

Special Requirements 

Valid driver’s license.
