Job Summary:
The Program Coordinator – Active Adult emphasis will be responsible for developing, organizing and implementing a variety of programming activities in support of the Edina Senior Center in addition to performing a wide variety of administrative activities.
Scope of Impact:
The duties and responsibilities of this job are performed with latitude for independent judgment in accordance with Department and City policies. Work impacts the first impression of visitors and is subject to periodic review by the supervisor, who provides input on approval of recommendations, and discusses assignments, priorities, and work.
- Assist the Recreation Supervisor in the planning of annual events and activities occurring at the Edina Senior Center.
- Develop, organize and implement a variety of day trips for the Center.
- Escorts trips as assigned
- Provide guests with general information and referrals
- Receive, then answer or route inquiries; answer questions, provide information on activities, procedures, and fees
- Assist guests with event registrations and rental information
- Assist with invoicing facility rentals
- Assist with the monthly newsletter mailing (labeling, delivery to post office)
- Assist with routine program preparation, set up and clean up
- Assist with AV equipment
- Assist with setting up class registration and facility reservations through CivicRec
- Maintain orderly and accurate database files for the Edina Senior Center
- Send routine correspondences and reports, such as incident and accident reports, when appropriate
- Assist with maintaining and ordering of Edina Senior Center’s supplies and equipment
- Responsible for opening and closing of the Center, as directed.
Other Duties and Responsibilities:
- Acquire knowledge of how to use building equipment, such as office equipment, sound systems, Senior Center laptop, projectors, kitchen equipment, media equipment, maintenance equipment
- Assist in maintaining an orderly presence of the office as well as the entire building
- Assist with events at the Edina Senior Center and events within the community
- Provide facility coverage as needed or requested
- Performs other duties as required or assigned
Minimum Qualifications:
- High school diploma or equivalent
- A minimum of one year of recreational programming or equivalent to park and recreation experience.
- A minimum of one year of customer service experience.
- Possess a valid Minnesota Class D Driver’s License.
Desired Qualifications:
Two to three years of recreational programming
Two to three years working experience with older adults
CPR/First Aid Certification
Knowledge, Skills and Abilities Required for Successful Job Performance:
- Excellent Microsoft Office (Word, Excel, Outlook and PowerPoint) skills.
- Knowledge of and ability to operate standard office software sufficient to manipulate data, draft reports and maintain records
- The ability to work independently and to prioritize work requests;
- Ability to work flexible hours with extra hours during special events.
- Knowledge and understanding of the older adult population including physical, intellectual, emotional, social, spiritual and vocational needs.
- Knowledge of general program management (i.e., sign-up, creation, implementation, general customer service, etc.).
- Ability to schedule various activities.
- Ability to effectively communicate with a variety of people.
- Ability to multi-task.
- Ability to utilize a variety of program tools and machines.
- Ability to answer inquiries efficiently, with business maturity, discretion, enthusiasm and a positive attitude.
- Ability to work independently with limited supervision.
- Physical and Mental Requirements:
Physical effort is light for the majority of work with lifting or carrying limited to 50 pounds intermittently. Work interruptions may be frequent at times.
Working Conditions:
Work is performed in a normal facility environment; however, interruptions may be frequent. The job may involve dealing with and calming customers who are emotionally charged over an issue.
