JOB TITLE: Seasonal Programs Assistant
CLASS: 51 – Seasonal
DEPARTMENT: Parks and Recreation
LOCATION: Pritchard Community Center
REPORTS TO: Programs Coordinator
POSITION OVERVIEW:
The Seasonal Programs Assistant works closely with the Programs Coordinator at Pritchard Community Center to support the management and execution of various programs and events within the Parks & Recreation Department. The primary focus of this role is overseeing the Summer Day Camp, which includes supervising camp counselor staff, ensuring smooth daily operations, and actively engaging with campers.
This is a working supervisory position that requires strong organizational, communication, and leadership skills. The role involves weekend, evening, and holiday work as needed. The Seasonal Programs Assistant reports directly to the Programs Coordinator and collaborates with other parks staff, community partners, and the public to ensure high-quality programming.
KEY RESPONSIBILITIES:
Summer Day Camp Supervision & Program Support
- Oversee daily operations of Summer Day Camp, ensuring a safe, structured, and engaging environment for campers.
- Supervise, support, and assist camp counselor staff in daily activities.
- Assist the Programs Coordinator in hiring staff, tracking schedules and timecards, and managing day-to-day staff operations.
- Conduct daily team meetings with camp/program staff to review policies, share feedback, and improve camp activities.
- Maintain proper first aid and discipline procedures, addressing camper issues promptly and professionally.
- Communicate effectively with parents/guardians regarding camper concerns, discipline, and safety matters.
- Document and report disciplinary incidents and accidents to the Programs Coordinator.
Program & Event Coordination
- Assist in the development and implementation of Parks & Recreation programs and events.
- Support event planning efforts by creating schedules, promotional materials, ordering supplies, and coordinating logistics.
- Attend meetings with the Programs Coordinator and other staff to discuss program needs and improvements.
- Set up and break down events, ensuring all details are executed smoothly.
- Maintain positive relationships with community partners, instructors, and volunteers.
Facility & Administrative Support
- Assist in the daily operations of Pritchard Community Center, including answering phones, assisting the public, and handling administrative tasks.
- Monitor activities to ensure compliance with department rules and safety guidelines.
- Process registrations and handle financial transactions with accuracy and integrity.
- Work outdoors in various weather conditions as required for programs and events.
- Perform other duties as assigned by the Programs Coordinator or Department Head.
QUALIFICATIONS & REQUIREMENTS:
- Must be 18 years of age or older.
- High school diploma or GED equivalent required.
- Experience in childcare, education, programming, or a related field preferred.
- Previous experience in a leadership or supervisory role preferred.
- CPR and First Aid certification preferred (or willingness to obtain).
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office, graphic design software, and POS systems.
- Must be able to work variable hours, including evenings, weekends, and holidays.

The Seasonal Programs Assistant reports directly to the Programs Coordinator and plays a key role in supporting the Summer Day Camp and other Parks & Recreation programs. This position requires a proactive approach, strong leadership, and a commitment to creating engaging and well-organized programs.
