JOB DESCRIPTION:
Under the direction of the Code Enforcement Manager, the administrative coordinator will provide instruction to the code enforcement unit pertaining to policy and interpretation of Everett Municipal Code 1.20, manage the graffiti removal program as part of the code unit, perform related duties as the Clerk to the Hearing Examiner, maintain and ensure accountability of documentation with applicable rules, policies and procedures, and establish initial case files using current software systems.
JOB RESPONSIBILITIES:
- Provide support services such as forecasting, scheduling, gathering information, organizing documents and preparing case files consistent with applicable rules, policies and procedures. Assist in the development of policies and procedures if none are available for assignment.
- Screen office and telephone calls, respond to complaints and requests for information on regulations, procedures, systems and precedents relating to code enforcement.
- Monitor expenses and keep records of all expenditures and revenues relating to assigned work orders and budgets; route all budget matters through proper channels. Maintain constant awareness of progress on assigned projects to assure compliance with designated review timelines.
- Establish and maintain files, records, and other information sources needed to support and document areas of assignment. Maintain records to comply with all city, state, and federal requirements.
- Work efficiently and effectively in a busy office environment with constant interruptions.
- Manage one’s workload, be a motivated self-starter, and quickly learn City of Everett’s codes, standards, and procedures.
- Work collaboratively with the workgroup as well as with staff from other review disciplines, departments, and agencies.
- Must possess superior interpersonal and communication skills and have the ability to apply independent judgement to non-standard problems and situations.
- Make difficult and sometimes unpopular decisions based on codes and standard requirements.
- Effectively use a computer for daily work including Microsoft Office Suite, GIS mapping software, code enforcement software, and Bluebeam PDF software.
- Provide technical expertise, guidance, and mentorship to staff in the workgroup.
- May be required to participate and support in hearings with the Hearing Examiner.
- Perform related work and special projects as assigned.

- Associate's Degree in a related field including coursework in office management and/or computer software related to word processing, spreadsheets and/or databases and
- 5 years of experience performing administrative office work of a progressively responsible and difficult nature including a minimum of 2 years in the area of assignment.
