Essential Duties and Responsibilities:
- Responsible for professionally answering customer questions, providing accurate information, and assisting with complaints or inquiries as needed.
- Performs basic bookkeeping and banking transactions, including the collection, counting, and disbursement of money daily.
- Answers and responds to organization emails, phone calls, and can appropriately manage and address all incoming questions to limit forwarding to other departments.
- Issues various types of city licenses and permits including answering basic inquiries and managing the organization and retention of those records.
- Takes inventory and orders materials, supplies, and services as needed.
- Manages the reservation of city facilities, scheduling building code inspections, calendars, and various appointments as needed.
- Assembles, prepares, and distributes materials for mailing/shipping and may pick-up or distribute materials to others relative to special projects as assigned.
- Responsible for compiling, maintaining, updating, and filing all city records relative to the administration as directed.
- Other duties as assigned.
Minimum Qualifications:
- Valid Texas Class C Driver’s License.
- High School Diploma or GED equivalent.
- Two (2) years of experience in office administration, permitting, or related field required.
- Must be a current Texas Notary Public or obtain Texas Notary certification within six months of employment.
Knowledge, Skills & Abilities:
Knowledge of:
- Principles and practices of general office public administration.
- General office skills/tasks such as managing a multi-line phone system, exhibiting proper phone etiquette, data entry, cash handling, and record management.
- Principles and procedures of record keeping and record retention.
Ability to:
- Communicate clearly and effectively, both verbally and in writing with the ability to type a minimum of 35 WPM.
- Perform mathematical computations.
- Collect and review data.
Skilled In:
- Establish and maintain effective working relationships with City staff and the general public.
- Operating a calculator, Incode Software, Microsoft office products including Word, Excel, Outlook, and PowerPoint
Physical Demands:
- Regularly requires counting, sitting, talking, hearing, seeing, standing, walking, use of and ability to operate office equipment.
- May require occasional, lowering, pushing, or pulling of 10 – 25 lbs. and occasionally up to 50 lbs.
Work Environment:
- 95% of work will be performed indoors at the office.
- 5% of work will be performed outdoors or in the field.
- Subject to outside weather conditions
