Description:
The City of Fishers is seeking a full-time Administrative Assistant to perform administrative tasks, assist and support all program areas, and collaborate to ensure accurate billing in the Fishers Health Department. This role will work with sensitive and confidential information and is expected to have excellent judgment and maturity. This position contributes to the first impressions clients and visitors have of the Fishers Health Department.
Examples of Duties:
- Answers and screens telephone calls and greets the general public in person regarding all areas of the Health Department.
- Serves the public by informing, educating, and answering their questions and concerns and responding to requests with regard to departmental policy and procedures.
- Responsible for clerical tasks related to scheduling, registering, documenting, and billing of client visit. Ensures process is completed in professional and kind manner.
- Complies with all Health Insurance Portability and Accountability Act (HIPAA) requirements and other regulations.
- Enters claims and invoices for department expenses into the Citys financial management system.
- Works with the Controllers Office and Deputy Director of Finance and Operations for the Health Department to properly code claims and set-up vendors.
- Assists Deputy Director of Finance and Operations with insurance billings tasks.
- Back up for Vital Records for issuing birth and death certificates and collecting and receipting fees.
- Manages and orders office supplies.
- Collects and distributes mail received.
- Ensures educational materials are up to date by working with the department staff.
- Assists department staff on organizing, planning, and executing meetings and outreach events.
- Performs various clerical duties as assigned or needed.
- Assists other departmental staff as needed including working on special projects.
- Perform related duties as assigned.
Minimum Qualifications:
- High School or GED required. Some college preferred;
- Previous experience in clinical type setting preferred;
- Previous experience with billing health insurance preferred;
- Previous experience as an administrative assistant preferred;
- Must have an active Indiana Drivers License with a record that allows the ability to be insured to drive a city vehicle and have access to personal vehicle and current automobile insurance;
- Occasional evenings and weekends are required. This role will be expected to work one evening shift per week (to 7:30pm) and one weekend shift per month (Saturday 8am-1pm). This schedule could vary based on business needs.
