What are the responsibilities and job description for the Program Assistant position at City of Fond du Lac, WI?
The City of Fond du Lac is accepting applications for the position of Program Assistant in the Senior Center Division of Community Development. This is a part-time position (20 hours/week) and performs work as needed at the Senior Center relative to providing consistent support and effective communication with staff to ensure smooth operations and a positive work environment; offer excellent service to visitors and the general public by answering inquiries and providing accurate information in a professional and timely manner; assisting in the promotion, communication, and implementation of various programs and opportunities to engage the community; and carry out other tasks as assigned.
Various duties and responsibilities include:
- Customer Service – Answer telephones and greet visitors; provide information and assistance, take messages; and direct and handle emails and calls.
- Inventory – Complete regular inventory checks in activity spaces, office and supply rooms to ensure accurate and appropriate stocking levels.
- Document preparation – Create mail, document and file items pertaining to Center programs and activities, fundraising and memberships. Prepare final documents as drafted by Supervisor and staff. Prepare large mailings informing groups/partners of activities, opportunities, etc.
- Record Keeping – Enter and track Friends membership information and activity participation. Maintain and update municipal and Friends records. Ensure records are stored, imaged properly, and retrievable for authorized personnel. Collect and summarize information necessary to report monthly statistics for various City departments and organizations.
- Activity Coordination – Assist in creating fliers and information for upcoming activities and programs. Assist in developing new activities and programs. Register participants in the desired activity while tracking participation levels and maintaining wait lists as appropriate.
- Communications – Update social media pages. Printing, displaying and maintaining of documents within the Center such as important announcements, program changes, program reminders, building updates, etc.
- Administrative Support – Provide administrative support to the Director and Program Coordinator.
Requirements include:
- High school graduate with minimum of 5 years administrative and/or accounting experience; strong communication skills relating to customer service, or any combination of education and experience that provides equivalent knowledge, skills, and abilities.
- Computer skills (Microsoft Word, Excel, Outlook, Social media sites)
- General office duties
- Experience working with active older adults a plus

SALARY RANGE: We offer a competitive compensation package – $19.28/hour, and is dependent on annual budget and job performance.
