A Sr. Administrative Assistant job is available with the City of Fort Worth Water/customer Relations section. The Customer Relations section of the Customer Care Division is a fast-paced environment and is an integral part of the Water Department. The ideal candidate will provide high-level support to the Customer Relations section. This position is responsible with supporting a wide variety of complex administrative and fiscal tasks that support office and customer service operations including special project activities for the division. The ability to provide exceptional customer service and being outcome oriented is necessary. Work in a customer focused, diverse, and team-oriented work environment. The ideal candidate will be a self-starter, able to take initiative over work tasks, be highly organized, detailed oriented, analytical thinker, possess strong communication skills, and be able to adapt quickly to changing situations.

Depending on assignment, positions in this class typically require touching, talking, hearing, seeing, grasping, standing, walking and repetitive motions.
Physical Demand
Sedentary work – Depending on assignment, positions in class typically exert up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met.

Minimum Qualifications
- Bachelor’s degree from an accredited college or university with major course work in public administration, business administration, human resources or related field
- Three years of increasingly responsible administrative and fiscal management experience in support of a department, division or major service area, including one year in a supervisory or lead capacity.
- Five years of increasing responsible administrative and fiscal experience in support of a department, division or section.
- Experience using PeopleSoft (ERP Financials, Purchasing, HCM Payroll, and CRM).
- Three years municipal or local government experience
- Procurement process knowledge
- Minimum of one-year experience with facilitating interviews and hiring staff, working with Greenhouse or similar onboarding software.
- Minimum of one-year experience with medical records, FMLA and ADA criteria, and worker’s compensation claims
- Strong organizational skills, attention to detail and follow-through. Ability to multi-task
- Advanced knowledge in Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
- Provides financial and budget activities; including creating re-estimate reports for management’s review. Liaison for Customer Relations and other Purchasing staff regarding purchasing activities for the department.
- Research and analyze the accuracy of expenditures and make corrections when necessary.
- Obtain quotes and proper approvals for goods and services and receive goods and services.
- Process requisitions and purchase materials and supplies to maintain inventory.
- Coordinate and communicate with other sections within the division to ensure execution of vouchers.
- Process reimbursement, creates and process travel requests.
- Responsible for updating and maintaining contracts.
- Maintain and order office supplies.
- Draft correspondence for upper-level management.
- Respond to request for information from supervisory staff, employees, and external customers in a timely manner.
- Adhere to assigned work schedule as outlined in the department and city attendance policies and procedures.
- Back up to Human Resources activities, knowledge of city policies and procedures when processing personal actions, hiring process, major medical and worker’s compensation claims and payroll.
- Work with little to no supervision at times and perform other duties as assigned.
