Job Summary
We are seeking a highly organized and detail-oriented Temporary City Secretary Office Assistant to support our City Secretary's Office in various administrative tasks. Duties
- Handle phone calls with excellent phone etiquette, directing calls as necessary and assisting residents with requests.
- Proofread documents for accuracy and clarity before distribution.
- Organizing, filing, and retrieving city documents, including ordinances, resolutions, and contracts.
- Scanning and Digitizing Records.
- Sorting and distributing incoming mail, preparing outgoing mail.
- Assisting with letters, notices, and other communications.
- Formatting, proofreading, and ensuring consistency in agenda items and captions.
- Helping to prepare council chambers or conference rooms for City Council meetings.
- Helping residents locate and request city documents.
Qualifications
- Proven experience in office management or administrative roles is preferred.
- Agenda software experience preferred.
- Excellent proofreading skills with a keen eye for detail.
- Exceptional organizational skills and the ability to prioritize tasks effectively.
- Strong verbal and written communication skills, demonstrating professionalism in all interactions.
- Ability to work independently as well as part of a team in a fast-paced environment.
