GENERAL DEFINITION OF WORK:

Under general direction, manages the non-technical operations of the Germantown Performing Arts Center (GPAC). Responsible for the management of several key functions, including contract administration, facility rentals, event services, programming & community outreach, and general maintenance, housekeeping and security of the facility. Exercises full supervision over employees.

ESSENTIAL JOB FUNCTIONS:

  1. Supervises and coordinates the activities of the staff including training, scheduling, hiring decisions, and written performance evaluations; works with employees to create goals and objectives and to correct deficiencies; implements discipline procedures when necessary.                          
  2. Consults with rental clients and the public to provide information regarding the facility venues, capabilities, services, and associated costs; advises on setup options; explains facility rules and regulations; and calculates estimates and final cost for equipment, personnel and other services. 
  3. Manages and maintains electronic booking system for performance and rental events for all venues. Reviews all potential events for booking availability and negotiates alternative dates and times when necessary.
  4. Prepares and/or reviews all facility use contracts to insure proper contract language; accuracy of space, dates and rental charges; and the collection of proper deposits and required documents.
  5. Performs event management activities to assure execution of successful events; conducts event planning meetings with staff; informs staff of event details and logistics; and prepares checklist of requirements to assure compliance with contract terms and agreements. 
  6. Inspects and evaluates the condition of the facility on a regular basis to ensure that cleanliness, safety and security issues are addressed timely; inputs work-order requests; and coordinates facility repairs, maintenance, and renovations with appropriate personnel.
  7. Reviews and interprets artist contracts to ensure proper contract language and terms of agreement;  consults with City Attorney’s Office as needed regarding legal contractual negotiations and contract language revisions. Monitors and ensures contract compliance regarding performer’s payments, hospitality rider, etc.
  8. Oversees the computing of costs for event rentals, including space, special services, and equipment rental charges.
  9. Develops and implements operational policies and procedures for facility use, including scheduling and booking, cash management, guest services, building security, inventory control and safety.
  10. Manages security needs for the facility following up on security and building access concerns; ensures that appropriate security is present during events as required.
  11. Serves as the facility safety manager insuring compliance with OSHA and City of Germantown fire safety regulations. Inspects and monitors work-related conditions to ensure compliance to regulations and safety guidelines.
  12. Develops and administers annual operating budget for assigned area to include projections for renovations and other capital expenditures. Monitors and controls expenditures and authorizes the requisition of equipment and supplies within purchasing and budgeting guidelines.
  13. Evaluates and researches in-house specialty software/system options and makes recommendations for upgrades and replacements to improve operation systems.
  14. Participates on and manages the 24/7-security alarm call response team; responds to alarms after hours and reports any unauthorized building entry to the proper authorities.
  15. Serves as primary liaison to other City departments as related to operations, such as purchasing, code compliance, and facility maintenance.
  16. Oversees the coordination of hotel, hospitality, merchandise sales, schedule of events, transportation and other logistics for GPAC performers.
  17. Compiles statistical data and prepares various reports for management review.
  18. Must be punctual and timely in meeting all job performance requirements, including but not limited to, attendance and tardiness standards and work deadlines.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of the principles and practices of facility operations, maintenance and scheduling
  • Knowledge of contract language, rules and regulations
  • Knowledge of box office ticketing system and all facets of box office operations, including front of house management
  • Knowledge of laws and regulations relating to public safety and ability to enforce fire and safety codes
  • Knowledge of security and crowd control procedures
  • Knowledge of logistical and set-up requirements of various events.
  • Ability to handle multiple, simultaneous tasks and to respond confidently and promptly to situations
  • Ability to develop and administer budgets
  • Ability to plan, organize, and direct work activity of staff
  • Ability to work cooperatively and maintain effective working relationships with representatives of various groups, vendors, co-workers and the general public
  • Excellent customer-service skills and ability to communicate diplomatically with diverse groups of people
  • Ability to work irregular hours as necessary according to event schedule demands

EDUCATION AND EXPERIENCE: Bachelor’s degree in a related field and five years of public facility operations or event management experience. Experience should include at least two years in a supervisory capacity; or any combination of education, training, and experience providing the knowledge, skills, and abilities necessary to perform essential job functions.

WORKING CONDITIONS: Majority of work takes place in a clean, pleasant and comfortable office setting. Irregular hours may be required to monitor events or to respond to facility security alarms.


Salary : $68,432 - $80,517
