About Us:

The Glendale City Court is the Judicial Branch of the Glendale City Government and is also part of the Arizona Judicial System. The Glendale City Court adjudicates criminal misdemeanors, City Code violations, and certain juvenile offenses committed in the City of Glendale. In cases of domestic violence and harassment, the Court issues protective orders. The Court has the authority to issue search warrants for misdemeanors and felonies. The Glendale City Court's mission is to provide an independent and accessible City Court, that maintains a high degree of public trust and public confidence, by addressing cases and providing prompt, fair, and just resolution in a professional, efficient, and courteous manner.

The Role:
Performs judicial and legal support, administrative, clerical, financial, cash handling, and customer service functions in one or more areas of the court.

Salary:

This position is:
  • FLSA non exempt, and will earn overtime for any hours hours worked over 40 in a week.
  • A Grade 311 with with an annual salary between $44,850 - $67,275.

Holiday, Vacation, and Sick Leave:

Regular status positions offer:
  • The City of Glendale observes 10.5 holidays per year, and full-time employees are also granted an additional 12 hours of holiday special leave to celebrate their cultural or religious holidays throughout the calendar year.
  • Vacation leave accrues at:
    • 5.33 hours per pay period (138 hours/17.25* days per year)
    • Increases to 6.12 hours after 5 years
    • Then caps out at 7.6 hours after 10 years of service.
  • Sick leave accrues at 4.4 hours per pay period (114 hours/14.25 days* per year).

  • Days per year estimates are based on an 8-hour work day.

Retirement:

This position participates in the Arizona State Retirement System (ASRS).

  • The current contribution rate is 12.27%.
  • Contributions are mandatory, and are collected each pay period.

Essential Functions

  • Prepares and processes cases such as misdemeanor, civil traffic, parking violations, and other civil matters in compliance with legal requirements and procedures.
  • Performs tasks such as preparing and canceling warrants and summonses. Reports convictions to other agencies.
  • Assists judges, attorneys and defendants in the courtroom, preparing handwritten motions, orders, and sentencing documents for the court record.
  • Assists public at information counter and on the telephone, resolving various levels of customer service needs.
  • Enters, edits, and retrieves data utilizing court-specific computer software.
  • Performs file management functions including alphabetical and numerical case filing, creating new case files, tracking case files, matching documents to case files, and researching record requests.
  • Audits and verifies court-specific software data against case files for discrepancies and takes corrective action.
  • Reviews court case files for accuracy and completeness, determines next appropriate action and forwards files for proper handling.
  • Monitors cases for compliance with court orders including restitution, jail time, defensive driving school attendance, counseling, and community service.
  • Collects, posts, and balances fines, fees, and bonds. Reconciles daily cash transactions using court-specific computer software and Microsoft Excel.
  • Sorts and separates internal, external, and hand delivered correspondence and case documents.
  • Effectively interacts with prisoners, defendants, and victims of crime in potentially volatile situations.
  • Performs other related duties as assigned.

Minimum Qualifications/Special Requirements/Success Factors

Two (2) years of college education or two (2) years of experience in one or more of the following areas: court clerk, customer service, cashiering, file management, and/or criminal justice.

Any equivalent combination of education, training and experience that provides the required knowledge, skills and abilities is qualifying. One year of relevant experience may be substituted for each year of required education.


Knowledge of:

  • City Code, Arizona court system, Arizona Revised Statutes, Arizona Rules of Civil and Criminal Procedures, and legal terminology
  • AJACS software experience

Skill in:

  • Use of personal computer, MS Windows, MS Excel, MS Word, MS Outlook and court-specific software and computer systems
  • Effective interpersonal relations with internal and external customers
  • Word-processing and spreadsheets to create letters, forms and reports
  • Mathematics including addition, subtraction, multiplication, division and percentages

Ability to:

  • Make independent decisions following established procedures, manuals, and codes
  • Follow written and oral instructions
  • Read, understand, and accurately complete legal forms and documents
  • Interpret and follow complex rules, regulations and procedures
  • Apply legal terminology pertinent to court activities and procedures
  • Provide quality customer service and handle difficult public contact situations
  • Communicate effectively verbally and in writing
  • Establish effective working relationships with City staff and the general public
  • Operate office equipment including personal computer, copier, fax and courtroom tape recorders
  • Work varied hours utilizing flex scheduling
