- Processes purchase requests for library materials determining most appropriate method and source.
- Ensures compliance with City procurement policies and contractual terms and conditions when ordering and making payment decisions.
- Establishes priorities and coordinates duties within the acquisition workflow.
- Ensures all library materials are ordered and paid for in a timely and accurate manner with a high degree of attention to detail.
- Enters all book and media orders in ILS allowing staff and library users the ability to view status of ordered materials at any point in the process.
- Verifies funding and collection coding when processing orders.
- Resolves issues involving defective or damaged items.
- Utilizes EDI within ILS to facilitate electronic ordering, confirmation, and invoicing.
- Receives all incoming materials shipments, verifies accuracy, and ensures timely deployment of new materials for the Library system.
- Manages vendor performance related to shelf-ready processing.
- Sorts and distributes all incoming mail and deliveries.
- Processes invoices and payables, itemizing invoices for accuracy.
- Enters requisitions and Purchase Order change orders.
- Assists in the Library materials inventory and asset disposal processes.
- Develops, implements, and evaluates unit policies and procedures.
- Prepares library system management reports, analyses, and projections.
- Plans for the delivery and storage of materials and supplies.
- Performs other related duties as assigned.
One year of college level coursework in library technology or a related field and one year of experience in a library system or procurement.
Any equivalent combination of education, training and experience that provides the required knowledge, skills and abilities is qualifying. One year of relevant experience may be substituted for each year of required education.
Knowledge of:
- Library policies, procedures, and operations
- Automated systems for library operations
- Federal laws and regulations concerning the collection of debts
Ability to:
- Assist with training and developing employees and volunteers in an effective manner
- Communicate effectively verbally and in writing
- Perform research, evaluate findings, develop recommendations, and prepare reports
- Resolve patron complaints and problems effectively
- Evaluate operational procedures, systems, and problems; recommend and implement changes
- Establish and maintain effective working relationships with city staff and the general public
Special Requirements:
- May be required to work evenings, weekends, and holidays.

Salary : $40,680 - $61,020
