What are the responsibilities and job description for the Inventory Control Specialist position at City of Great Falls?
Technical responsibility for the end-to-end management of parts, including ordering, inventory maintenance, and procurement. Work is performed under the general direction of the Vehicle Maintenance Superintendent or Fleet Manager who schedule and direct daily work flow for each department’s or division’s repair needs.
- Procures parts and supplies as requested by the fleet maintenance technicians.
- Ensures adequate stock of high-volume consumables (filters, fluids, belts, etc.) by maintaining continuous inventory and adhering to reorder points.
- Accurately receives, verifies, records, unpacks, and stocks all ordered materials and parts shipments.
- Receives and fulfills special order requests by researching vendors and suppliers to identify and locate specific parts or items.
- Maintains digital records of high volume items and fixed asset inventories to ensure complete and accurate information on parts, supplies.
- Maintains (repairs or replaces) a variety of tools and equipment as needed.
- Maintains workplace cleanliness and organization standards within the parts shop (floors, benches, waste, etc.)
- Performs monthly inventory control checks.
- Cultivates strategic partnerships with suppliers and vendors to ensure accurate pricing and access to current industry trends.
- High School diploma or equivalent.
- Forklift certification or the ability to obtain one within six months from date of hire.
NECESSARY SPECIAL QUALIFICATIONS
- At least 5 years experience in a parts/warehouse department setting.
- Must possess or have the ability to obtain valid Montana driver’s license.
- Considerable knowledge of the principles and practices of inventory management and control.
- Considerable knowledge of the City’s purchase and requisition policies and procedures.
- Considerable knowledge of part vendors within city, state and nationwide.
- Demonstrated knowledge of various parts ordering methods, including phone, online platforms, and alternative procurement channels.
- Practical mechanical knowledge of heavy equipment, semi-trucks, lawn maintenance equipment, and automotive vehicles (gas, diesel, and electric).
- Extensive knowledge of tire sizes, tire compounds and brands of tires.
- Ability to communicate verbally and in writing.
- Ability to maintain legible, accurate written records and develop reports.
- Ability to establish and maintain effective working relationships with peers, supervisors, and vendors.

SUPERVISORY RESPONSIBILITY
This position does not supervise staff.
WORK ENVIRONMENT
While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment can be loud. May be required to work outside in adverse conditions and temperatures.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to stand, walk, sit, bend, twist, climb, kneel, reach, push, pull, grasp, pick, pinch, ride and perform similar body movements. Must have the ability to perform heavy physical work and to lift and carry up to 50 pounds at a time; the possession of hand/eye coordination sufficient to operate various hand and power tools and a motor vehicle; the ability to talk and hear in person or by telephone and two-way radio; and the ability to see and read instructions and reports.
EXPECTED HOURS OF WORK
The work schedule is a 40-hour work week, Sunday through Saturday. Work is typically performed Monday through Friday. This position is non-exempt and eligible for overtime. Overtime may be required if deemed an emergency by city management. Any overtime must be authorized prior to working. Employees need to be at their designated work area dressed and ready to work at 8:00 am unless special instructions are provided.
TRAVEL
Travel is primarily local during the business day. Occasional travel may be required to attend off-site training and educational opportunities. May be required to travel outside city limits to obtain parts or for other city business.
