Job Summary: 

Guest Service Representative is an integral part of the Recreation Division with the City of Greeley and are responsible for providing quality customer service to patrons. This position will provide customer service to patrons regarding Greeley Recreation facilities, programs, activities, and events. This position will process activity registrations and point of sale transactions. This position will also be responsible in assisting the sports and programs coordinators with program logistics including volunteer tracking, coaches' rosters and some program communications.

Experience, Knowledge, Skills:

Minimum Requirements

  • High School diploma or equivalent.
  • 1-2 years' customer experience
  • Current certification in CPR, First Aid, and AED or ability to obtain within 3 months of hire required

Preferred

  • Spanish/English bilingual skills 

Knowledge, Skills, and Abilities

  • Experience and knowledge of computer operations and use of software packages including Microsoft Office applications 

Essential Functions:

Customer Service

  • Delivers prompt and professional solutions to both external and internal customer inquiries through face-to-face, phone, and email interactions. Inquiries will focus on sports leagues, clinics, adult sports, adaptive programs, camps and clinic registrations.
  • Answers and transfers a high volume of telephone calls.
  • Provides courteous service to patrons requiring program registrations.
  • Provides quality customer service through the development of relationships with participants, community members, volunteers and various organizations.
  • Participates in regular team meetings to ensure consistency is maintained.
  • Accurately and efficiently enters information into computer via keyboard.
  • Collects fees, charges credit accounts correctly, and provides accurate receipts.
  • High level of detail and accuracy/quality assurance.
  • Works independently and sets priorities for work assignments while managing competing priorities.
  • Abilitiy to answer and properly direct phone calls, questions and program inquiries.
  • Assists in restocking supplies, equipment inventory and program equipment organization.
  • Technology and Risk Management.
  • Learns and uses recreation management software, RecTrac.
  • Assists in operations including program registration, transfers, rosters, data entry, and point of sale services.
  • Assists with ensuring marketing materials, website, and social media sites are updated with accurate information.
  • Follows and assists in the enforcement of risk management and emergency response training.
  • Registrations and Operations.
  • Process' and assists with promoting youth sports activities, adult sports offerings, and adaptive and inclusive programming opportunities.
  • Aid patrons in registrations for activities, programs, and events.
  • Maintains a full understanding of registration procedures, ability to provide program recommendations specific to family needs and preferences,
  • Maintains and updates family and organization accounts.

Supervisory Responsibilities

  • None

Work Environment and Physical Requirements:

Work Environment

  • Frequent and heavy contact with the public and City employees in person and by telephone.
  • Frequent interruptions.
  • Flexibility to work early mornings, weekdays, nights, weekends, evenings, and holidays.
  • Work is performed in an open office environment with heavy noise levels, at times.

Physical Requirements

  • Vision to perform physical activities, read computer keyboards, reference books, and other written documents.
  • Strength and stamina enough to walk, stand, stretch, bend, lift or carry up to 50 lbs.
  • Manual dexterity enough to complete daily work such as operate computer keyboards, drive and operate motor vehicles, and operate other office equipment, and complete paperwork.
