Job Summary
The Venue Sales and Promotions Specialist is responsible for driving revenue through event space sales, building and maintaining strong client relationships, and promoting the venue as the premier destination for events. This role involves creating and implementing strategies to increase visibility, coordinating media buys with third-party agencies, and collaborating with external partners and internal teams to ensure successful event execution. The specialist will also manage content creation, act as a liaison between the communications department and external agencies, and ensure all promotional efforts align with event goals and contracts. Additionally, this role requires a high level of sales and customer service experience to ensure customer satisfaction and exceed client expectations.

Experience, Knowledge, Skills
Minimum Requirements
- A bachelor’s degree in communications, hospitality, business administration, or related field.
- One (1) year of proven sales experience with a demonstrated ability to meet and exceed sales targets.
- Two (2) years of strong background in customer service with experience managing relationships and addressing client needs.
- Two (2) years' experience coordinating with external agencies and managing media buys.
- Two (2) years familiarity with digital content creation and social media management.
- Bilingual in Spanish.
- Strong sales and negotiation abilities, with experience managing contracts and promotional strategies.
- Excellent written and verbal communication skills with a client-focused approach.
- Strong organizational and project management skills, with attention to detail.
- Proficiency in CRM software, Microsoft Office Suite, and social media platforms.
- Ability to adapt and work efficiently under tight deadlines, especially during high-demand periods.
- Experience working with artists, agents, and external vendors to meet contractual obligations.
Sales and Client Engagement
- Proactively seeks and secures event bookings, including corporate events, private functions, and public performances.
- Builds and maintains strong relationships with clients, event planners, and organizations to generate repeat business and referrals.
- Conducts venue tours for prospective clients, showcasing venue features, capabilities, and amenities.
- Consistently meets or exceeds sales goals, utilizing relationship-building techniques to convert leads into bookings.
- Provides exceptional customer service by understanding clients’ needs, offering tailored solutions, and ensuring successful event outcomes.
- Addresses client inquiries, concerns, and special requests promptly, ensuring the highest level of customer satisfaction.
- Develops and executes strategies to increase venue visibility and attract a wide range of clients.
- Represents the venue at trade shows, community events, and networking opportunities to expand its client base.
- Collaborates with internal teams to create promotional materials and campaigns to showcase venue offerings.
- Manages outreach campaigns, including holiday pushes, low sales, and event-specific promotions requested by artists or agents.
- Serves as the main point of contact between the venue and external agencies, ensuring smooth collaboration on coordinating media buys with third-party agencies, content creation, and overall promotional strategy.
- Works closely with agencies to plan, purchase, and manage media placements across various platforms, ensuring maximum reach for the venue’s events.
- Collaborates with the Communications & Engagement (C&E) team to align promotional strategies with event goals, ensuring consistent messaging across all platforms.
- Tracks the performance of media campaigns, analyzing effectiveness and recommending adjustments as necessary.
- Coordinates with C&E to ensure accurate and timely posts across various social media platforms, including event highlights, backstage shots, and promotional materials.
- Manages UCCC social media content
- Builds and maintains a digital media database, providing images and videos for ongoing use in future promotional efforts.
- Assists with preparing contracts with clients, ensuring compliance with terms and venue policies.
- Collaborates with C&E to ensure all event promotions align with artist and venue contracts, especially regarding promotion timelines and asset usage.
- Ensures UCCC events meet contractual requirements, including asset acquisition, promotional deadlines, and collaboration with artist agents to meet specific needs.
- Monitors venue contracts to ensure promotion schedules are met on time, adhering to artist and venue expectations.
- Coordinates and execute campaigns such as ticket giveaways or promotional pushes for upcoming events.
- Engages with local communities by setting up booths, distributing flyers and posters, and coordinating meet-and-greets or VIP access for memberships or sponsors.
- Facilitates community and customer focus groups to gather feedback and improve event offerings and customer satisfaction.
- Monitors industry trends and competitor activities to identify new opportunities for venue promotion and growth.
- Gathers data and assists in creating reports that highlight event successes, sales statistics, and areas for growth.
- Gathers content and images for promotional materials, including infographics and annual reports.
