The Police Department is seeking a dedicated and professional Administrative Clerk to be the first point of contact for members of the public. As a vital member of our team, you will provide essential information to the public and support Police Officers in their daily duties. EXAMPLE OF DUTIES
Handles requests in person and by phone. Determines information to be provided or course of action (i.e. provide information, gather information to create a report entry, or enter a call for Officer assistance). Provides Officers with requested information. Performs records checks using T.I.M.E. system. Enters various reports. Performs warrant entry and cancellations. Performs data entry and record keeping functions for the department. Enters data in compliance with department policies and procedures, state statutes, and federal law. Compiles data and prepares various reports independently. Researches information from various sources and organizes data into word processing formats. Performs moderately difficult telephone answering work including responding to complaints and explaining departmental procedures and City and/or other regulations to other departments or the general public. Directs telephone calls to appropriate staff. Maintains receipt books and makes necessary deposits. Performs a variety of follow-up activities. Checks and reviews a variety of data for completion and conformance with established regulations and procedures. Maintains the confidentiality of departmental practices. Prepares articles for mailing. Performs general record keeping and filing. Assists other clerical staff with immediate assignments of moderate difficulty. Performs other duties as assigned.
SUPPLEMENTAL INFORMATION
Considerable knowledge of general office procedures. Working knowledge of business English, spelling, punctuation and grammar. Considerable knowledge of filing procedures. Good skill in performing basic mathematical computations and simple bookkeeping procedures. Ability to handle routine work assignments independently. Ability to utilize a computer and the required software. Ability to follow oral and written instructions. Ability to establish and maintain effective working relationships with staff and the public. Ability to work the required hours of the position. Typing and other testing tools may be used to assess applicants' skills.Physical RequirementsAbility to perform the following activities: Lifting up to 20 pounds. Carrying up to 20 pounds. Frequent standing and sitting. Ability to focus for long period of time on projects. Ability to reach, stoop and lift.
