The Department of Public Works is looking for an Administrative Clerk to join their dynamic team. Administrative Clerks serve as a welcoming first point of contact for citizens in person and over the phone and support the department with a variety of administrative tasks. 

Hiring Range: $22.64 - $23.28/hour.

Work Schedule: Monday - Thursday 7:30-5:00; Friday 7:30-11:30 (40 hours per week) and additional hours as needed for monthly night meetings. 

No Residency Requirement.

  • Provides clerical support services to departmental staff in the processing of letters, reports, permits, studies and forms as instructed by the Public Works Supervisor.  Prioritizes and processes work related to City construction and/or reconstruction projects to meet deadlines of bidding documents and corresponding advertisement notices, agenda, change orders, letters, reports, payments, and record keeping of the same. Types and data enters information for statistical or financial reports, correspondence, schedules, budgets, statements and other material as necessary, which frequently involves some judgment regarding the information included or format used.  Tracks various licensing programs and related duties.
  • Prepares agenda, transcribes minutes and organizes follow up work of notices and correspondence for Improvement & Services Committee and Traffic, Bicycle, & Pedestrian Commission; processes follow up Council report and prepares resolutions as needed.  Records and files proceedings as they relate to the Department.  Organizes and maintains records of 90-day traffic signage trial periods for Traffic, Bicycle, & Pedestrian Commission. Takes and prepares minutes and summaries for bid opening meetings. Prepares minutes for pre-construction and other meetings as needed.
  • Maintains files and prepares correspondence, forms, reports and other materials; sorts and files materials alphabetically, numerically or by other predetermined classification.  Searches for information for same from various sources.  Updates Public Works website, social media, and calendars as needed.
  • Sells and issues various items such as bidding documents, plans, maps, recycling bins and carts, garbage bags, etc.  Issues receipts.  Maintains related records.
  • Generates invoices for early solid waste/recycling set out collection, bulk collection, snow and ice control, grass and weed control, damaged City property, clean ups, excavation permits, etc., and maintains records.  Compiles and enters data for requisitions and purchase orders and maintains records of requisitions purchases. Maintains inventory and keeps records of supplies.
  • Records, reviews and maintains records of utility bills for City and departmental facilities and/or equipment.
  • Acts as receptionist, assisting callers and responding to inquiries.  Performs moderately to considerable difficult telephone answering and counter work, which may involve explanation of some departmental procedures or independent judgment for immediate/emergency referral to staff.  Takes complaints and forwards to appropriate personnel.
  • Organizes and processes street resurfacing postcard surveys of affected residents.  Composes routine correspondence in accordance with standard policies.  
  • Assists Public Works Supervisor and Parking division office staff with clerical related duties as deemed necessary.
  • Performs other duties as assigned.

  • High school diploma or equivalent.
  • Successful completion of post high school courses in administrative assistant or related field highly desirable.
  • Three or more years of full time office experience.
  • Advanced word processing and other related office software skills and experience.
 A combination of equivalent experience and/or education may be considered.
  • Good knowledge of business English, spelling, punctuation and grammar; good knowledge of general office practices and procedures; good knowledge of business letter forms, procedures and terminology; good knowledge of filing procedures and the ability to follow established filing system.
  • Good skill in performing basic mathematical computations and simple bookkeeping procedures; good skill in planning and processing documents to meet specified deadlines. Skill and ability to operate a variety of office machines.
  • Ability to prioritize and meet deadlines as required; ability to correctly count funds and make change; ability to balance and receipt revenues; ability to proficiently utilize a computer and the required software.  Ability to communicate effectively both orally and in writing; ability to use independent judgment and work independently; ability to learn and apply departmental policies, City ordinances and State statutes; ability to understand simple oral and written instructions; ability to establish and maintain effective working relationships with staff and the public.  Ability to work the required hours of the position.
Typing and other testing tools may be used to assess applicants' skills.

Physical Requirements:
Ability to perform the following activities:
  • Lifting and carrying up to 10 – 20 pounds.
  • Frequent standing, walking and sitting.
  • Ability to focus on projects for long periods of time.
  • Ability to reach, stoop and lift.
