The Economic Development and Community Development Department is seeking an experienced and proactive Administrative Support Supervisor to oversee and manage the department’s administrative functions. This role is critical in ensuring efficient records management, staff leadership, and seamless office operations to support the department’s mission of fostering a thriving community.
This is a highly visible role that requires strong leadership, conflict management, and organizational skills. The ideal candidate will be an engaged and accountable advocate for the administrative team, ensuring high-quality support across multiple divisions, including Planning, Building, Community Development, Transportation Systems, and Economic Development.

Position Overview & Key Responsibilities
The Administrative Support Supervisor is responsible for leading a team of six administrative professionals, overseeing records management and process/workflow optimization, and ensuring that excellent customer service is provided.
Key responsibilities include:
- Team Leadership & Staff Supervision – Lead a team of six administrative professionals, ensuring balanced front desk coverage and division-specific support. Assign work, conduct performance evaluations, and foster a positive, accountable, and engaged work environment.
- Records Management Oversight – Serve as the department’s lead for public sector records management, ensuring compliance with regulations and best practices. Represent the department on the City’s Records & Information Management Committee.
- Process & Workflow Optimization – Manage scheduling, administrative procedures, and workflow coordination while identifying and implementing opportunities for improvement
- Customer and Staff Support – Address complex inquiries, provide guidance to internal staff, and interact professionally with the public.
- Project & Schedule Management – Assist the Economic & Community Development Department Director with scheduling, planning, and administrative support for strategic initiatives.
- Presentations & Reports – Utilize graphics and presentation software to prepare reports, agenda packets, and presentation materials while maintaining accurate records.
Current & Upcoming Projects
- Leading the department’s records archiving project, ensuring proper document organization and retention.
- Representing the department on the City’s Records & Information Management Committee to improve citywide records practices.
- Enhancing administrative processes to improve efficiency across multiple divisions.
- Associate’s degree in business administration or a related field; AND,
- Three years of related office or customer service experience, including supervisory responsibilities; OR,
- An equivalent combination of education and experience will be considered.
- Valid, current Driver’s License and safe driving record
- Public sector records management experience.
- Strong leadership and conflict management skills.
- Experience supervising and evaluating staff.
- Knowledge of applicable laws, regulations, and administrative standards.
- Proficiency in graphics and presentation software.
- Strong skills in workflow management, customer service, and process improvement.
- Strong interpersonal and communication skills, with the ability to motivate and advocate for staff.
- Bilingual (Spanish preferred).
