What You Will Be Doing
The Grant Program Coordinator will play a pivotal role in managing and supporting our grant programs. This position involves coordinating grant applications, monitoring compliance, and ensuring timely reporting. Successful candidates will have strong organizational skills, attention to detail and a passion for advancing our mission through effective grant management.
As the Grant Program Coordinator, you will coordinate with other departments with their grant-related needs, which include supporting with available grant opportunities, grant applications, compliance advisement, policy and internal control development, reporting, closing out of grants, and working across departments on best practice development and/or coordinated efforts on use of grant funds. In this role, you will be proactive in connecting grant seekers with grant opportunities, researching challenging questions, and keeping their supervisor informed of the work they are accomplishing.
Key Responsibilities
Grant Management: Develop policies, procedures and internal controls to support a healthy grant management infrastructure.
Compliance Monitoring and Collaboration: Ensure compliance with grant requirements and regulations, and coordinate reporting.
Research and Policy Analysis: Serve as an expert or resource through research and expertise; Function as the primary contact for granting agencies and funding opportunities.
Traits of a Successful Candidate
- Experience with full-cycle grant administration (application/grant writing, submission, acceptance, execution and compliance, and recording and recordkeeping).
- Advanced understanding of budgeting and financial management principles related to grants.
- Experience assisting grant managers with resources, and actively seek to partner grant funding opportunities to applicable departmental personnel.
- Ability to identify federal, state and other grant opportunities that the City might be a candidate.
- Ability to utilize Excel and City ERP system efficiently to perform grant administration and reporting.
- Experience managing multiple projects with a wide range of scope, variety and depth.
- Detailed, accurate, and analytical approach to work, both quantitatively and qualitatively.
- Strong desire to continuously expand knowledge and expertise in grant management and funding opportunities.
- Takes initiative on projects and can manage them with little supervision.
- Provides excellent customer service to internal customers (Finance and other departments).
Preferred Skills & Qualifications
- Familiarity with certain major grants like Community Development Block Grant (CDBG), and Water Infrastructure Federal Innovation Act (WIFIA).
- Intermediate to advanced Excel skills.
- Ability to research authoritative guidance (such as 2 CFR 200) for grant application.
- Experience with Schedule of Expenditures of Federal Awards preparation.
- Experience with ZoomGrants software.
Current Projects
- Assist with expanding grants policy/manuals and support a Citywide grant manager group.
- Utilize our ERP System, Munis, with more functionality over grant management and reporting.
- Actively seek grants on behalf of the City and partner them up to appropriate grant managers within departments.
- Administer the City’s registrations and active users in the Federal System for Award Management (SAM.gov), grants.gov and other grant portals.
Acceptable Experience and Training
Bachelor’s degree in Accounting, Finance, Business Administration, Public Administration or a closely related field; and three years of related experience in public sector or non-profit budgeting, financial analysis, or accounting; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
