Job Title: Executive Administrative Assistant

BRIEF SUMMARY OF THE POSITION
The City of Hillsdale is seeking a qualified and motivated Executive Assistant to provide a wide variety of highly responsible and confidential administrative support to the Director of Public Safety. The Executive Assistant will be under the direct supervision of the Public Safety Director.
ESSENTIAL FUNCTIONS
- Maintains required data.
- Maintains master schedules.
- Completes payroll entries.
- Processes invoices.
- Prepares professional letters.
- Processes Freedom of Information requests.
- Completes State of Michigan reporting requirements.
- Protects sensitive and confidential information regarding collective bargaining agreements, personnel matters, litigation, and other matters requiring a high degree of discretion.
- Interacting with the public using courtesy, tact, and discretion at all times.
- Perform other related work duties as assigned by the Public Safety Director and outlined in the job description.
- Assists in maintaining accurate city files and public records.
- Perform basic accounts payable and cash receipting functions.
EDUCATION AND EXPERIENCE
- Must pass an extensive background investigation and register fingerprints with the State of Michigan.
- Strong phone contact handling skills and active listening.
- Customer orientation and ability to adapt/respond to different types of individuals.
- Ability to multi-task, prioritize, and manage time effectively.
- Advanced computer skills, with demonstrated proficiency in Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint and desktop publishing applications.
- Minimum education requirement of High School graduation or GED equivalent.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk and hear. The employee is required to use hands. Specific vision abilities required by this job include close vision for written work and PC use.
