Description
Under the supervision of the Assistant Director of CNS, and in collaboration with the other Permit Technician and the Department Specialist, this person is responsible for the intake, processing, issuance and tracking of construction permits. This person will also share the responsibility for scheduling, coordinating, billing and updating construction inspections for the department. This person will also provide administrative support to CNS staff to ensure accurate and efficient operation of the department.
Examples of Duties
- Works with CNS department staff to receive and screen visitors, answer telephone calls, take messages, maintain office files, update computer programs and provide information to citizens.
- Works closely with the CNS Department Specialist to process all construction permits including building, electrical, plumbing, mechanical, fire alarm and fire suppression. This includes the intake and review of applications for completeness and accuracy, data entry, issuing permits, and tracking expired permits.
- Works closely with other department staff to schedule inspections and appointments for construction inspection staff. Reviews the inspectors’ schedules for completeness and accuracy, which includes coordinating schedules with multiple inspections staff, accurately entering and recording inspection information, and updating inspection results.
- Prepares correspondence for contractors, homeowners and the general public related to permits and inspections.
- Operates standard office equipment such as computer software packages, scanners, plotters and copy machines.
- Maintains confidentiality of documents and information received. Handles time-sensitive materials.
- Gathers data, runs reports and prepares information related to construction permits and inspections.
- Works with other department staff to maintain updated department forms and website content with the adopted City brand standard and office policies.
OTHER DUTIES & RESPONSIBILITIES:
- May occasionally be asked to attend and assist with after-hours meetings.
- Performs other duties as assigned.
Typical Qualifications
- The job requires knowledge normally acquired through the completion of high school with additional training in administrative services. Associate’s degree preferred.
- One to two years of experience in providing administrative support and customer service, preferably in a governmental setting.
- Candidates must be certified through the International Code Council (ICC) as a Permit Technician, or have the ability to become certified, within one year of employment.
- Knowledge or experience in the construction industry, architectural field, building trades or other similar related field preferred.
- Demonstrated organizational skills, a proven ability to maintain detailed and accurate records, and proficiency to complete all projects and assignments in a timely manner.
- Exceptional and tactful written and verbal communication skills necessary for interaction with City personnel, contractors, and the general public.
- Proficiency in MS Office Word and Excel software applications and the ability to become proficient in BS&A software applications.
- Detail oriented and comfortable working in a fast-paced office environment with frequent disruptions from people and phone calls.
- Physical ability to periodically sit in one position for extended periods of time. Incumbent must occasionally lift/carry items weighing up to 20lbs.
