Essential Duties & Responsibilities
The intent of this job description is to provide a representative summary of the major duties and responsibilities performed by incumbents of this job. Employees may be requested to perform job-related tasks other than those specifically presented in this description.
- Handles a variety of administrative details for Council Member Thomas’ Office.
- Exhibits a service-oriented attitude toward constituents, stakeholders, and team members while maintaining productive working relationships.
- Maintains confidentiality regarding highly sensitive information encountered in daily tasks.
- Manages budget activities, maintains contracts, and oversees vendor relationships.
- Makes purchases, processes payments, maintains reconciliation of p-cards, and produces financial reports.
- Screens calls, visitors, and mail; responds to sensitive requests for information and assistance; resolves constituent concerns and complaints and directs to appropriate staff member.
- Conducts comprehensive research and analysis on complex issues and projects, providing summary reports and actionable recommendations.
- Prepares complex documents, correspondence, and presentations for Council Member Thomas and senior staff.
- Assists with special projects as initiated by the Council Member or senior team member.
- Schedules appointments and maintains Council Member Thomas’ calendar, ensuring efficient time management and has the ability to serve as a gatekeeper and gateway for necessary meetings.
- Coordinates travel arrangements and manages itineraries.
- Supports office operations by organizing records, handling inventory, and managing requisitions and deliveries.
- Prepares agendas, attends Senior Team Meetings, and records notes for follow-up.
- Operates office equipment with proficiency, including computers, telephones, and copiers.
- Ensures all work is completed in a timely, efficient, and professional manner.
- Performs other duties as assigned.
WORKING CONDITIONS
This position is physically comfortable; the individual has discretion about walking, standing, etc. There are no major sources of discomfort in a normal office environment.
KNOWLEDGE: Requires a Bachelor's degree in Political Science, Public Administration or a closely related field.
EXPERIENCE: Three years of administrative or closely related experience are required.
**Preference shall be given to eligible veteran applicants provided such persons possess the qualifications necessary for competent discharge of the duties involved in the position applied for, such persons are among the most qualified candidates for the position, and all other factors in accordance with Executive Order 1-6.**
Knowledge of:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Operations and organizational structure of local government, including municipal management and the roles of elected officials.
- Local/regional affairs, policies, and community issues.
Skill in:
- Communicating tactfully and effectively with the public, constituents, and team members.
- Prioritizing tasks and meeting deadlines in a fast-paced environment.
- Attention to detail and editing for grammar, punctuation, and sentence structure.
- Managing diverse and evolving tasks efficiently.
Ability to:
- Maintain confidentiality on sensitive topics.
- Establish and maintain trust with Council Member Thomas, staff, and constituents.
- Build effective working relationships and foster collaboration in a team environment.
- Work calmly and efficiently under pressure.
- Listen attentively and communicate effectively with individuals of varied backgrounds.
