Position Summary

This position is responsible for providing excellent customer service while working and maintaining the Human Resources front desk. Greets all visitors to Human Resources, and explains the employment application process to applicants both in person and via phone. Assists applicants with answering any questions they may have about the process or status of their applications. Incumbents must understand the established policies and procedures and follow them accordingly. Incumbents may also rely on experience and judgment to plan and accomplish assignments in a timely manner, emphasizing customer service and attention to detail. Other duties and tasks are routine in nature and performed under supervision following standard procedures. . Supports the Human Resource Staff including the Human Resources Director, Human Resources Deputy Directors, and Human Resources staff.

Position Responsibilities

  • Responsible for opening and closing the office for hours of operationand greets and assists all visitors to Human Resources
  • Answers the Human Resources Division multi-line phone and transfers internal and external calls to the appropriate person
  • Responsible for authoring and requesting network credentials including computer and telephone for new hires and internal promotions or transfers and authorizing employee identification cards, parking, laptop request, and office set-up
  • Answers applicants’ questions about the application process and researches the status of their applications using Neo-Gov software
  • Performs tasks and special projects for the Human Resources Director, Human Resources Deputy Directors, and Human Resources staff as assigned
  • Utilization of PeopleSoft to perform support functions assistance, as needed, such as verbal employment verification for current and former employees
  • Maintains positive and professional communication with the City/County Enterprise, Human Resources staff, and the residents of the City of Indianapolis Marion County via telephone, in person, and email
  • Schedules quarterly meetings and is responsible for compiling multiple slides into a finished presentation
  • Maintains and issues City/County service awards for enterprise
  • Receives Human Resources Division mail, sorts, and distributes to appropriate Human Resources staff
  • Maintain confidentiality of all information

Qualifications

High School diploma with one (1) to three (3) years of previous experience in an office setting and must have proficient user knowledge and experience with Microsoft Outlook, Word, PowerPoint and Excel is required. Must be able to effectively communicate verbally and in writing. Must have good reading comprehension. Must type 35 words per minute. Must be detailed oriented, punctual, and demonstrate strong knowledge of professional customer service skills


Preferred Job Requirements and Qualifications
Associates degree with three (3) to five (5) years of relevant work experience is preferred or former training with an emphasis on Office Assistant tasks and duties.

Independent Judgment

Position requires the knowledge of established policies and procedures, which controls most of the incumbent(s) actions. Very limited independent judgment is utilized.
