What are the responsibilities and job description for the Recording Secretary position at City of Inver Grove Heights?
Under the supervision of the City Clerk, the Recording Secretary is responsible for preparing accurate and timely meeting minutes for the City Council and various advisory commission meetings, such as the Environmental Advisory Commission (EAC), Parks and Recreation Advisory Commission (PRAC), and Planning Commission.
This is a part-time non-benefitted position with an average of less than 16 hours of work each week. This position is fully remote with flexible hours, as long as established deadlines are met.Prepares accurate and timely meeting minutes from audio/visual recordings:
• Listens to recordings of assigned Council and Commission meetings and prepares a typed summary of discussions and formal record of motions, votes and outcomes.
• Prepares minutes using Microsoft Word or other assigned software, following specified style and format, and conforming to proper English spelling, grammar and punctuation. Makes edits as directed.
• Submits completed minutes by established deadline to allow for their approval on a subsequent meeting agenda.
• Interacts with various City staff as needed to clarify meeting minute content.Minimum Qualifications:
High school diploma or equivalent; and at least two years of work experience requiring significant typing, keyboarding or word processing.
Desired Qualifications:
Experience preparing minutes for committees, boards or governing bodies. General knowledge of municipal government operations and terminology.Essential Knowledge, Skills and Abilities:
• Accurate typing/keyboarding skills with the ability to type approximately 60 words per minute.
• Strong attention to detail, precision, and accuracy.
• Ability to work independently, prioritize tasks and meet established deadlines.
• Ability to hear and transcribe a summary of discussions in a concise and understandable manner.
• Ability to operate a computer and common word processing software.
• Ability to learn and apply prescribed style and format for minutes of a government meeting.
• Ability to communicate effectively, particularly via phone and email, with supervisor and coworkers at a different location.
Work Environment:
It is anticipated that the duties of this position will be performed on an entirely remote basis, using a City-provide laptop computer.
