JOB SUMMARY: The Legal Assistant works under the general supervision of the City Attorney and is responsible for performing advanced spreadsheet, word processing and complex administrative and detailed clerical duties, along with related assigned duties. The Legal Assistant must be able to work in a fast-paced environment with a strong attention to detail. This is a part-time position working Monday through Friday, between the hours of 8:00am to 5:00pm at City Hall. This position reports the City Attorney.
MAJOR RESPONSIBILITIES/ACTIVITIES:
- Performs word processing and maintains Legal Department records in connection with a variety of municipal legal issues, projects and proceedings
- Prepares pleadings, ordinances, resolutions, real estate transactional documents, and other legal and technical documents as required
- Prepares contracts and related correspondence and documents
- Composes a variety of legal documents, letters and requests
- Performs detailed clerical duties for the City Attorney
- Conduct legal research and provides written analysis of legal issues
- Performs complex administrative tasks and may include expenses/requisitions, reimbursements, and budget/operations-related administration matters
- Responds to varying and sometimes difficult questions and complicated issues from internal clients and external customers
- Prepares and maintains records/information and compiles reports for City elected officials and department heads
- Creates, updates, tracks and maintains legal record logs, extracting pertinent information and preparing synopsis of lawsuits/legal issues
- Maintains calendar and coordinates scheduling for City Attorney, including meetings, legal proceeding deadlines, deposition and trial scheduling, travel, and tort claim responses
- Updates or assists with updating Jenks City Code, ensuring consistent citation form
- Coordinates document production and exhibit preparation in court cases involving large numbers of documents, to include copying, scanning, Bates stamping and electronic storage
- Assist with coordinating Open Records responses and Governmental Tort Claim investigations and responses, and expungement responses
- As needed and directed, may assist City Clerk’s records administrative staff with organizing and maintaining legal-related records or provide general administrative assistance to City management
- Search county land records, secretary of state’s records, and other online databases
- Perform basic online research including researching other cities’ codes, agendas and minutes
- Must report to work on a regular and timely basis

- Possesses the ability to compose routine business correspondence, organize and maintain files related to legal work performed by attorneys; ability to work independently
- Extremely organized with strong multi-tasking and time-management skills.
- Must handle sensitive information with the highest degree of integrity and confidentiality.
- Ability to occasionally work non-standard days/hours, as needed.
- Demonstrate professionalism at all times.
- Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
- Participates as needed in special department and interdepartmental projects.
- Proficiency in Microsoft Office.
- Performs other related duties as requested.
MINIMUM AND PREFERRED REQUIREMENTS:
- Graduation from high school or possession of a General Educational Development Certificate (GED);
- Bachelor's degree and/or certified paralegal preferred; and three (3) years of experience working for an attorney as a legal assistant or an equivalent combination of training and experience
- Experience working for a municipality preferred
- Excellent written and verbal communication skills
WORKING ENVIRONMENT
The duties of Legal Assistant will be generally performed in a climate-controlled office environment. Work environment is both formal and informal, team oriented, having variable tasks, pace, and pressure.
Physical: Primary functions require sufficient physical ability to work in an office setting and operate office equipment. Continuous sitting and upward and downward flexion of neck; fine finger dexterity; light to moderate finger pressure to manipulate keyboard, equipment controls, and office equipment; pinch grasp to manipulate writing utensils. Frequent side-to-side turning of neck, walking, standing, bending, stooping, pushing/pulling, and twisting at waist. Occasional squatting, kneeling, and reaching above and at shoulder height; moderate grasp to manipulate reference books and manuals. Occasional lifting of up to 15 pounds.
Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents and to operate office equipment.
Hearing: Hear in the normal audio range with or without correction.
