The Administrative Assistant at the Johnston Police Department works with the executive command team to ensure efficient departmental operations. The ideal candidate will assist the Administrative Commander and Chief of Police with various administrative tasks, including correspondence, record-keeping, roster and chart updates, and coordination with other law enforcement agencies. Additionally, this individual will help with the hiring process, handle Freedom of Information Act requests, and assist with travel arrangements for officer training, as well as other duties as assigned.
Experience in administrative processes, and computer software applications, excellent organizational abilities, and professional communications skills are preferred for the ideal candidate. Being a positive contributor and working efficiently in a team environment is a must. While previous law enforcement or government experience is beneficial, it is not required.
This is a part-time position that will be staffed 20-25 hours a week, Monday through Friday. Specific days and hours are to be determined.

DEFINITION
Under general supervision, performs a variety of general office, clerical and administrative functions for the Police Department in a fast-paced environment. This is a non-sworn position working under the direction of the Chief of Police or designee. Some discretion is granted for the exercise of judgment and initiative.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are normal for this position but are dependent upon the level of skill, ability, and experience of the individual. They are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Performs varied clerical tasks such as data entry, proofreading, electronic filing, typing, and filing.
- Assists public safety building clients, vendors, and visitors and provides appropriate information and / or materials.
- Receives and transmits emergent and non-emergent messages, information, and complaints.
- Composes and types department correspondence utilizing computer programs, software, and equipment; accurately and efficiently enters and updates data into various computer databases, records, and document management systems, and programs; retrieves and compiles information for a variety of reference and statistical reporting purposes.
- Receives and forwards Freedom of Information Act requests and facilitates releases of public information pursuant to supervisory, legal, and / or procedural guidance.
- Processes various incoming payments; distributes / mails necessary reports / receipts and filing records; processes reports of payment via the City's financial software system; ensures compliance with the City's financial management policies and state law.
- Performs confidential duties for Department in a sensitive manner.
- Monitors, documents, and maintains confidential records for compliance with yearly audits, maintains records, files, and reports to include lawful re-dissemination of privileged / confidential information.
- Coordinates services, purchasing and procurement as delegated, and maintenance / service of office equipment.
- Prepares invoices and claims for City Council approval using appropriate department account numbers.
- Aids in the completion of background investigations for hiring, issuance of city permits and liquor licenses, citizen ride-along requests, and others as delegated.
- Interacts with other law enforcement agencies and private and public organizations regarding department related activities.
- Performs Matron / Patron duties as needed in the handling and processing of detainees.
- Provides assistance to other departments in a cordial and professional manner as needed or directed.
- Performs other duties as assigned or required.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
Graduation from high school or GED equivalency and two (2) years of general clerical and / or office experience or substituting post high school education for the experience requirement. Candidates must undergo background investigation and fingerprint screening as well as pre-employment drug screen. Those with felony convictions or crimes involving moral turpitude will not be considered for employment.
SPECIAL REQUIREMENTS AND CERTIFICATIONS
Certified, or able to become certified, to access the IOWA and NCIC systems.
Valid State of Iowa driver's license and be insurable.
WORKING CONDITIONS
Duties are generally performed inside in a secure office setting with occasional bending, lifting light objects generally weighing 10 pounds or less.
