The La Mesa Human Resources Department is seeking a motivated and detail-oriented individual to assist our team as a temporary/part-time Clerical Assistant. This position is perfect for someone who enjoys administrative tasks, particularly filing and data entry, while gaining valuable experience supporting essential Human Resources and Risk Management functions. Ideal candidates must have the ability to handle sensitive and confidential information with professionalism.
This is a temporary, part-time, non-benefited position working approximately 15-20 hours per week. This position is limited to a maximum of 900 hours in a twelve-month period (July to June).
Clerical Assistants perform a variety of general office support and clerical duties and activities for an assigned department or division; to receive and direct telephone calls and visitors; to receive, route and distribute incoming and outgoing mail; to maintain a variety of files and records; and to perform a variety of clerical duties relative to assigned area of responsibility.

The following duties are typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.
- Prepare a variety of documents and forms including general correspondence, reports and memoranda from rough draft or verbal instruction; disseminate information as appropriate.
- Enter data into a computer from various sources including accounting, statistical and related documents; input corrections and updates; verify data for accuracy and completeness; assist in the compilation of reports.
- Answer the telephone and provide information on department or division operations and activities; relay messages and provide information on City policies and procedures as required.
- Collect and process over-the-counter or phone-in registrations for various City programs or permits; enter program information into automated system; compile class rosters; issue transfers and refunds; maintain a system of registration forms.
- Participate in the maintenance of a filing system; research records for various information as requested.
- Assist with compiling information and data for reports.
- Maintain a variety of records such as inventory and purchase records; resolve errors on orders and invoices.
- Maintain office or other supplies and inventories for assigned area; order supplies as needed.
- Operate a variety of office equipment including a computer, copier with scanner.
- Perform related duties as required.

Education/Training:
Equivalent to the completion of the twelfth grade.
Experience:
6 months of office or clerical support experience is preferred, especially in a confidential work environment.

- Computer proficiency with Microsoft Word, Excel, and Outlook, databases and use of the Internet.
- Filing, alphabetizing and organizing with attention to detail
- Ability to handle sensitive, confidential information with empathy, tact and diplomacy
- Ability to perform accurate calculations and maintain accurate, up-to-date records.
- Ability to perform multiple tasks in a work setting that is often busy and distracting.
- Ability to work independently, problem-solve and resolve customer concerns and establish effective working relationship with those they come in contact with at work.
