SUMMARY
Under direct supervision, this individual schedules appointments, gives information to callers, take dictation, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Read and route incoming mail.
- Locates and attaches appropriate file to correspondence to be answered by employer.
- Compose and type routine correspondence.
- Type approximately 40 words per minute.
- File correspondence and other records.
- Answer telephone and give information to callers or route call to appropriate official and places outgoing calls.
- Greet visitors, ascertain nature of business and refer visitors to employer or appropriate person.
- Make copies of correspondence or other printed material.
- Prepare outgoing mail.
- Operate office machines such as a personal computer with word processing and spreadsheet software applications, facsimile machine, calculator, copying machine.
- Perform any other duties as assigned.

None required.

EDUCATION and/or EXPERIENCE
High School, diploma, or general education degree (GED); One to months related experience and/or training preferred;; or equivalent combination of education or experience.
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving a few concrete variables in standardized situations.
CERTIFICATES, LICENSES, REGISTRATIONS
Must have a valid Louisiana Drivers License
