Position: Specialist I/II – Human Resources – Human Resource Information Systems (HRIS)

Department: Human Resources Department

Annual Salary: Specialist I - $68,640.00 - $87,604.14

Specialist II - $77,723.10 - $99,196.50

Exempt - Not Eligible for Overtime

Benefits-eligible & 401(a) payment equals 5% of base salary.

 

 

 

General Summary:

Human Resources Information Systems (HRIS) Specialist I/II. Under general supervision, this position focuses on specialized technical tasks related to managing, supporting, and enhancing the department’s systems. The HRIS Specialist will ensure the effective use of HR technology systems, data accuracy, and process improvements in HR functions. The incumbent will provide guidance to HR and office support staff and make decisions within predetermined guidelines. The HRIS Specialist II will assume additional responsibilities to further enhance these efforts. This position will report to the Senior Analyst of the Human Resources Department.

 

 

Responsibilities include, but are not limited to:

Specialist I:

  • Administer and maintain the HRIS, ensuring data integrity, security, and compliance.
  • Participate in HRIS-related projects, including system upgrades and new feature rollouts.
  • Document system configurations, workflows, and troubleshooting procedures.
  • Oversee timecards, ensuring accuracy and compliance with company policies and labor laws.
  • Provide technical support and troubleshooting for HRIS-related issues, including system access, data discrepancies, and report generation.
  • Maintain HRIS data, including employee records, payroll information, and benefits data ensuring data inputs are timely, accurate, and compliant with relevant policies and regulations.
  • Collaborate with the HR team to implement HRIS updates, enhancements, and process improvements.
  • Assist in the creation and maintenance of HRIS reports for recruitment, onboarding, training, performance evaluations, and other HR processes.
  • Participate in HRIS user training sessions and provide guidance to team members on best practices.
  • Provide administrative support related to HRIS tasks, such as preparing reports and communicating with staff regarding system usage.
  • Participate in HR projects, including system upgrades, user experience enhancements, and data security initiatives.
  • Review and audit HRIS data regularly to ensure accuracy, completeness, and consistency, recommending corrective actions where necessary.

Specialist II:

In addition to all functions of Specialist I, Specialist II's responsibilities include, but are not limited to:

  • Lead and manage the implementation of new HRIS features, modules, and system upgrades, coordinating with internal and external stakeholders as necessary.
  • Analyze HRIS data to identify trends and generate actionable insights for HR strategy and decision-making.
  • Serve as a subject matter expert for HRIS-related processes, providing guidance and training to HR staff on system usage and troubleshooting.
  • Further support HR processes such as payroll, benefits administration, talent management, and recruiting through system improvements.
  • Oversee the integration of HRIS with other departmental systems to improve data flow and system efficiency.
  • Collaborate with the HR team, and other departments, to streamline workflows and enhance system functionality to support recruitment, onboarding, employee performance management, and other HR operations.
  • Develop, maintain, automate, and present HR dashboards, reports, and analytics on HRIS performance, system metrics, and recommendations for process improvement and to support decision-making.
  • Configure, test, and implement HR projects as assigned, including but not limited to system upgrades, user experience enhancements, and data security initiatives.

Minimum Qualifications:

Any combination of education and/or experience that provides the knowledge, skills, and abilities necessary for acceptable job performance would qualify.

  • High School Diploma for Specialist I and an Associate degree from an accredited university in a related field for Specialist II, desired.
  • One year of relevant professional experience for Specialist I and three years of relevant professional experience for Specialist II.
  • Strong analytical, problem-solving, and troubleshooting skills.
  • Experience with data reporting tools and HR analytics.
  • Understanding of HR processes, compliance, and data privacy regulations.
  • Ability to manage multiple projects and prioritize tasks effectively.
  • Excellent organizational, problem-solving, communication, and interpersonal skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in HRIS systems (ADP, DocuSign, Tyler), advanced Microsoft Office Suite, and Monday.com.
