Post screened candidate(s) must also pass transcription proficiency testing with at least 50 wpm after errors and demonstrate speedwriting and / or shorthand ability.
EDUCATION & EXPERIENCE REQUIREMENTS: The City of Lansing reserves the right to utilize equivalencies where deemed appropriate with regard to education and experience requirements.
Bachelor's degree business, business management, business administration or related field
Five (5) to seven (7) years of executive-level office experience.
Proficiency in computer usage and software, website design and navigating CivicPlus, and payroll data entry
An equivalent combination of training and experience.
MUST pass data entry/typing assessment with 60 wpm/90% accuracy
Must possess and maintain a valid driver’s license.
PHYSICAL CAPACITY REQUIREMENTS: This position requires the individual, through assistance or on their own, to sit, stand, walk, hear, listen, speak, reach, push, pull, demonstrate finger dexterity and/or feeling, and visual acuity.
ENVIRONMENTAL CONDITIONS OF POSITION: Office environment
ESSENTIAL POSITION FUNCTIONS:
Serves as an administrative specialist to the Chief of Police and the Assistant Chief and other executive command staff, and provides secretarial services to the Legal Advisor, and Internal Affairs Section.
Administrator for LPD web page and co-administrator for social media page(s).
Deals with citizen complaints, listens to what is being said, and takes appropriate actions including making referrals to other staff members.
Develops and publishes materials for the Lansing Police Department and H.O.P.E. Scholarship Program.
Provides administrative support to the Police Commission and the HOPE Scholarship Program.
Works on behalf of the Chief of Police by issuing work assignments to various Command Officers and providing follow up on assignments and preparing the information for the Chief.
Drafts and presents portions of the administrative budget for the Lansing Police Department.
Acts as the backup recording secretary for monthly Board of Commissioners meetings which requires speedwriting and/or shorthand ability.
Develops and maintains personal computer data bases using word processing and spreadsheet software and generates reports for use by staff.
Schedules all meetings for the Chief and keeps she/he informed daily of same.
Composes and type memos, letters, reports and other documentation using word processing and spreadsheet software.
Sorts and distributes mail.
Audits and reviews applications including 24-hour liquor licenses, carrying concealed weapon permits and a wide range of requests submitted to the Chief of Police.
Generates and forwards traffic control order to LPD Patrol Division for use in lineup.
Ensures proper handling of legal papers received by the department and follows up on letters of complaint and other related matters.
Develop, design, coordinate and edit the LPD Annual Report.
