What are the responsibilities and job description for the Deputy Court Clerk / Customer Service position at City of Leander?
Performs entry-level routine work. Works under moderate supervision, with minimal level of discretion. Ensures the efficient and accurate operation of the City’s court by performing clerical duties in a timely and appropriate manner.
- Provides excellent customer service to Municipal Court inquiries by precisely communicating court processes, as defined by state law, policy and judicial orders, both oral and written. Provides other general information to the public in a professional manner.
- Responsible for accurate court disposition and fine records by collecting payments, posting correctly to the court management software system, balancing a cash drawer daily following established cashiering procedures.
- Provides assistance for accurate data entry/file transfers of tickets from the Police Department, Code Enforcement, and outside agencies for traffic, parking, state and City violations.
- Ensures prompt communication for court customers by sending timely courtesy letters and emails.
- Responsible for accurate alphabetical and numeric filing practices in court. Accurately captures documents in a document management system to maximize productivity and provide efficient retrieval of information.
- Ensures the effective coordination of Municipal Court operations by contributing to both the departmental and the City-wide court teams by communicating effectively on problems and issues.
- Stays abreast of legislature and court procedures and training related to court duties.
- Performs other related duties as assigned.
- High school diploma or its equivalent.
- Minimum of one year of office experience utilizing computers and software.
- Minimum of six months of customer service experience.
- Minimum of six months of cash handling experience.
- Ability to obtain your Level I Court Clerk certification within two years of hire date.
- Attend a minimum of 12-hours of training per year, through the Texas Municipal Courts Education Center (TMCEC) to obtain or maintain certification.
- Possession of an active/valid Level 1 Court Clerk certification, or higher level.
- One or more years of experience in court-related operations.
- Bi-lingual (Spanish).
- Ability to communicate effectively both verbally and in writing.
- Ability to follow detailed verbal and written instructions.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
- Ability to write routine reports and correspondence.
- Ability to calculate figures and amounts such as discounts and percentages.
- Ability to communicate with other employees and the general public in a courteous and diplomatic manner.
- Skill in handling multiple tasks and prioritizing.
- Analyze situations and adopt quick, effect, and reasonable courses of action.
- Skill in using computers and related software applications.
- Ability to develop and maintain effective working relationships with City employees, the public, elected officials, and boards and commissions.
