GENERAL DEFINITION OF WORK Assist with the administration of the day-to-day operations of the City of Lebanon Garage Shop and be responsible for ensuring that internal customers are cared for in an effective and efficient manner. Greet public, assess customer needs & schedule appointments for technicians. Assists Garage Manager with administrative tasks involving estimates and work in process. Closes out month-end reporting duties as assigned. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to: Greets public & offers excellent customer service from intake to release of their vehicles. Determine & diagnose car issues based on customer description & vehicle condition. Translate customer-reported problems to actionable repair orders for technicians to complete. Schedule appointments for service technicians. Order necessary parts from suppliers & double-check that they are delivered to technicians. Ensure that automotive work provided to customers meets quality standards. Handle & resolve customer complaints & make follow-up calls to facilitate a positive service center experience. Manage & maintain all vehicle/equipment records, paperwork, including repair orders and invoices. Enter data into computer databases. Monitors daily productivity reports and corresponding payroll records. Locate & order parts as needed, follow up on parts orders to ensure parts availability. Monitors progress and completion of vehicles in the shop and calls customers as necessary Monitors paper flow to ensure that all documents are accounted for, filled out completely and legibly, and filed or distributed to the appropriate parties. Review & verify vehicle warranty protections & service contract coverage when developing cost estimates, repair orders & other paperwork to necessary. Leverage automotive paperwork, including repair orders, invoices & maintains records. Maintains professional appearance. Other duties as assigned. REQUIRED KNOWLEDGE, SKILLS AND ABILITIES To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. Exemplary Microsoft Office program & general computer skills are mandatory. Previous experience working as a service technician or in a service department a plus. Working knowledge & experience of automotive products, repairs & parts. Strong communication skills & ability to translate customers’ needs to workable technician orders. Organizational skills including the ability to schedule appointments, meet with customers & ensure that work is done properly. Exceptional customer skills Continuing education & knowledge acquisition on the function & repair of newer vehicles. Ability to communicate complicated automotive processes to customers who may have only basic automotive knowledge. Must have strong organizational, communications & interpersonal skills. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Exemplary Microsoft Office program & general computer skills are mandatory. Strong Data Entry, keyboarding skills at least 30 WPM with minimal error is strongly desired EDUCATION REQUIRED High school diploma or general education degree (GED) required. State Health Insurance Program (S.H.I.P.) Certification is required or ability to obtain certification within 12 months of hire. Secondary education in the automotive field or equivalent work experience is preferred. EXPERIENCE REQUIRED Automotive trade school degree or 3-5 years' experience in automotive repair field preferred. Minimum of 1 to 2 years of administrative assistant or related experience is strongly desired. DRIVER LICENSE REQUIREMENTS Valid Tennessee Driver's License and clear driving record is required. If candidate doesn’t have Tennessee Driver's License, must have the ability to obtain one in 30 days. WORK ENVIRONMENT, PHYSICAL DEMANDS AND REASONABLE ACCOMMODATIONS While performing the duties of this job, the employee is frequently required to talk or hear. The employee is also required to stand; walk; sit; use hands to finger, and to handle or feel objects, tools, or controls. Visual acuity is required for preparing and analyzing written or computer data, visual inspection involving small defects and/or small parts, use of measuring devices, operation of motor vehicles, determining the accuracy and thoroughness of work and observing general surroundings and activities. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The employee must occasionally lift and/or move up to 25 pounds or more. This position requires sitting down for extended periods, ability to read, hear, speak, concentrate, learn, think, and communicate verbally and in writing. Also, standing, walking, bending, stooping, lifting, and twisting, as required in an office environment. This job is performed generally in an office environment using general office equipment. Some travel between City offices is required to conduct meetings and do inspections. Noise levels may vary, from office equipment to production line and warehouse levels. Must be able to operate a motor vehicle to travel locally, throughout Lebanon or Wilson County. Occasional travel may require the business use of personal vehicle, mileage is reimbursed by the City of Lebanon. Incumbent will be required to maintain bodily injury/liability insurance at 100/300 and provide proof on insurance up on hire. It shall be the responsibility of the City of Lebanon General Services Administrator and Public Services Director to assess the type(s) of reasonable accommodations which may be necessary to allow the individual to perform the essential functions of this role and to provide such necessary reasonable accommodations to a qualified individual with a disability, provided that nothing herein shall be construed to require the provision of reasonable accommodations if doing so will impose an undue hardship on the employing agency or a direct threat to the safety of himself/herself or others.   This position is a safety sensitive or security position.
