The City of Lilburn is seeking an individual to perform a wide variety of administrative support duties within the Public Works Department. This position reports to the Administrative Manager.
JOB DUTIES AND RESPONSIBILITIES:
Job duties include, but are not limited to the following:
- Performs receptionist duties, assisting customers, answering and directing phone calls, and taking messages.
- Performs clerical duties such as preparing correspondence/reports, presentations, filing, photocopying, scanning and faxing documents.
- Review and reconcile monthly fuel usage.
- Receives sanitation service calls, streetlight, and chipper service calls.
- Monitors the work order system; receives requests for service or complaints; schedules work; resolves issues.
- Develop effective working relationships with outside contractors providing services to the department, city residents, and business owners.
- Keeps the Administrative Manager informed of any issues or concerns; assists in resolving problems; recommends solutions. Ensure the department provides excellent customer service to city residents and business owners.
- Maintain records on all vehicles in the fleet. (Title, registration, emissions, and coordinating correspondence or invoices regarding a vehicle).
- Policy and procedure compliance.
- Performs other duties of a similar nature as assigned.
REQUIRED KNOWLEDGE & SKILLS:
Knowledge of
- Customer service principles.
- Applicable hardware, software, and peripheral devices.
- Basic office principles and equipment.
- Applicable policies, procedures, codes, and ordinances.
Skill in
- Providing excellent customer service.
- Organizing and handling a variety of assignments simultaneously.
- Prioritizing work and meeting deadlines.
- Operating a multi-line switchboard, computer, printer and applicable software.
- Excellent written and oral communication skills and interpersonal skills as applied to interaction with co-workers, supervisors, and the general public sufficient to exchange or convey information and to receive work direction.
- Understanding and compliance with City policies, procedures, applicable codes, and ordinances.
Qualifications
PHYSICAL DEMANDS: - Position requires walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions. - Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work. MINIMUM QUALIFICATIONS: High School Diploma, or G.E.D. with 2 years of progressively responsible office experience or an equivalent combination of education, training and experience sufficient to successfully perform the essential functions of the job. Experience working in local government is preferred but not required. Special Requirements: Must be at least 18 years of age. Must possess a high school diploma or G.E.D. Must be able to interact with the general public in a positive way. Must pass a Criminal History Background Check Must have a valid Georgia Driver's License Must provide a driver's history report from the Department of Motor Vehicles
