EXAMPLE OF DUTIES
Administrative Support: Provides a wide range of administrative and office support to the Streets, Grounds and Traffic Divisions, including managing calendars, scheduling meetings, and assisting with correspondence; reports and inquiry for additional information.Customer Service: Serves as a point of contact for internal and external stakeholders, responding to inquiries related to road maintenance, traffic management, and other services provided by each of the Public Works divisions, as well as other city related events/projects. Coordinates requests for snow plowing materials like salt and sand. Performs radio communications with staff throughout the day. Coordinates requests from Littleton Police Communications. Assigns resident and customer issues/requests to appropriate staff members.Data Management: Maintains and updates records related to street and grounds maintenance, snow operations, city-wide events and associated costs; communicates resource needs for each of the city-wide events. Maintains snowplow driver routes and contact information for Streets and Grounds.Reporting and Analysis: Prepares, compiles, and distributes reports on street and road conditions, project statuses, and operational performance. Assists with analyzing data to track departmental goals and objectives. Compiles data and prepares snow reports and snow summary sheets for Director and Streets Operations Manager under their oversight. Budget and Financial Support: Assists with budget preparation, monitors departmental expenses, and processes invoices, purchase orders, and payments for services and supplies. Assists with procurement activities for the divisions, entering contracts/amendments into the Cobblestone contract management software. Processes payments and reimbursements for various programs such as the Community Gardens and Forestry Subsidy Program. Utilizes the Workday enterprise resource planning program to process p-card reconciliations; enter invoices for payment; open purchase orders; and order items from Amazon or other suppliers.Project Coordination: Supports the coordination of road projects, repairs, and work with Engineering Inspectors. Communicates project timelines, budgets, and resource needs with internal teams and contractors. Coordinates the City’s Main Street Banner schedule with staff. Communicates information regarding leaf and tree recycling program.Compliance and Documentation: Provides support to staff that ensure departmental activities comply with regulations, policies, and procedures, including safety standards and environmental regulations. Compiles and submits street sanding report to state (June/July each year) at the direction of the Streets Operations Manager. Monitors and notifies staff members when Commercial Driver’s License/Medical Certifications/Traffic Control Supervisor certifications are up for renewal. Provides updated reports to Human Resources as needed; works with HR to schedule random testing of staff with Commercial Driver’s Licenses. Submits monthly hydrant meter readings to Denver Water.Inventory Management: Helps manage inventory of equipment, personal protective equipment, materials, and supplies, ensuring that necessary resources are available for ongoing projects and operations.Training and Support: Provides administrative support for training sessions, workshops, or meetings held by the department. Maintains personnel files and coordinates onboarding and offboarding of personnel, assigning lockers, personal protective equipment, training on time entry, and other related items. Coordinates safety meetings for department staff with Risk Manager.Other Duties: Performs additional duties as assigned to ensure the successful operation of the department.
