Hours: 8 am to Noon and 1 - 5 pm
Job Summary:
The Utility Clerk is responsible for providing administrative and customer service support for the utility department. This includes managing utility billing, processing payments, responding to customer inquiries, and maintaining accurate records. The role requires attention to detail, strong communication skills, and proficiency in basic office systems.
Small 3-person office seeking a utility clerk to join our tight-knit team. Key Responsibilities:
Customer Service:
- Respond to customer inquiries regarding utility accounts, billing, and services in person, by phone, or via email.
- Resolve customer complaints or escalate them to the appropriate personnel.
Billing and Payments:
- Generate and distribute utility bills to customers accurately and on time.
- Process utility payments, including cash, check, and electronic transactions.
- Issue receipts and update payment records in the system.
Records Management:
- Maintain accurate and up-to-date utility account records.
- Perform data entry and ensure all account changes, such as new service setups, cancellations, or updates, are recorded.
Reporting and Auditing:
- Assist in preparing reports on billing, collections, and outstanding accounts.
- Perform regular audits to ensure data accuracy and compliance with policies.
General Office Duties:
- Answer phones and manage correspondence.
- Assist with other administrative tasks such as filing, scanning, and organizing records.
Qualifications:
- High school diploma or equivalent (required).
- Previous experience in customer service, billing, or administrative roles (preferred).
- Proficiency in Microsoft Office Suite and billing/accounting software.
- Excellent communication and interpersonal skills.
- Strong organizational skills with attention to detail.
- Ability to handle confidential information professionally.
- 10- Key Skill (required).
Physical Requirements:
- Ability to sit for extended periods and use a computer.
- Occasionally lift up to 20 pounds (e.g., files or office supplies).
